Give role permissions to "What you owe (Payables)" reports?

How can I grant a role permissions to any/all of the "What you owe" reports? It has a big X where the checkbox should be. I have tried checking EVERY box in EVERY section to see if there's a prerequisite somewhere, but this section all still retains Xs.

 

 

I would upload a screenshot, but I can't, which is cool.

I'm here to help you invite your user who can view the What you Owe (Payables) report.

 

Beforehand, I'd like to know what role permission you select when inviting users. It'll help me determine why the checkbox has an X icon.

 

In QuickBooks Online Advanced, granting role permissions for the What you Owe (Payables) report to your users depends on the access you want to provide. It's the reason why you see an X icon beside the report. Please ensure that you've selected the correct role.

 

In addition to that, some report groups and reports aren't available yet for custom access, so you can't see the checkboxes to manage with custom roles. Also, we can't modify which payables report your users can access. The system will show a list of reports they can view when you invite them.

 

I've listed the roles below that you can give to your users so they can view the payables report:

 

  • Standard all access
  • Accounts payable manager
  • Standard limited customers and vendors
  • In house account
  • View Company reports

 

Once you've decided what specific access you'll give, you can invite your users.

 

If the View and Customize columns show Partial, I recommend clicking the drop-down icon to determine which report they can access.

 

Regarding uploading the screenshot, did you encounter any error messages while adding it? It'll help me determine its cause. Also, please ensure the image type is supported (jpg,.JPG,.jpeg,.JPEG,.gif,.GIF,.png,.PNG).


Additionally, you can check your usage limits in your QuickBooks subscription to determine the maximum number of things, like accounts or users, you can have at one time.

Thanks for confusing me even further.

 

I have invited all my users already. I am creating a new role. I want the role to be called "Only access to What You Owe Reports". I want to select all of the reports below with Xs. How do I do that?

While creating a dedicated role for What you owe reports isn't possible, I can clarify and guide you through alternative options allowing your users to access those reports in QuickBooks Online (QBO), Scobee. 

 

As mentioned by my colleague, granting permissions for the What you owe reports is based on the overall access you provide or assign to your users. This means that you cannot adjust the settings to allow access specifically to those reports nor create a separate role just for the What you owe reports. 

 

However, you can consider assigning the Standard all access role to your users as a workaround. This will allow them full access to report under the What you owe

 

Alternatively, you can also assign the Accounts payable manager role. However, please be aware that this role grants access to certain specific reports, including: 

 

  • A/P Aging Summary
  • A/P Aging Detail
  • Vendor Balance Summary
  • Unpaid Bills
  • Bill Payment List
  • Bill Payments Created Today reports

I really want to understand WHY I can't grant these permissions to a role. If there are prerequisite permissions, that's fine. But WHY can't I grant them?

"Standard All Access" grants many, many, permissions that I do not want this role to have access to.

 

I just need someone to be able to run reports without the ability to create invoices and receive bills and do tons of other stuff!

 

I'm super frustrated. I've spent 2 hours on the phone. I've spend an hour on chat. This forum post is my 3rd attempt to understand this and so far it's strike 3.

Yes, I agree with you, Scobee. Your data's security is also our priority, so it's necessary to add the correct role permissions.

 

Currently, the ability to add someone who can only view the What you owe (Payables) reports and not do other things in your books is unavailable in QuickBooks Online Advanced.

 

While this isn't possible, I recommend sending a feature request to the Product Development Team. Rest assured that they're continuously improving the program and introducing updates and improvements to cater to the diverse business needs of all users.

 

Please follow these steps to submit a request from your QuickBooks account:

 

  1. Go to the Gear icon and select Feedback.
  2. Type in your suggestion in the field.
  3. Then, submit your request.

 

Additionally, you can use Spreadsheet Sync's report feature in QuickBooks Online Advanced to help you analyze your data to ensure they're accurate.
