Hello…new to qbo for my new small biz. I utilize a third party credit card processor and need help with how to categorize each sale.

I can share some info on how you can categorize each sale in QuickBooks Online (QBO). 

If you send an invoice to the customer, the categorization of your sale depends on the affected account of the items used on the invoice. 

We'll need to review the invoice and make sure to check the affected account. Once done, you'll need to match it to the invoice from the Banking page. I'll show you how:

1. Open the Banking menu, then go to Banking.
2. Select the For Review tab.
3. Search for the deposit, then click to open the transaction.
4. Click on Find Match.
5. You can filter the result by changing the data range.
6. Pick the matching transaction, then hit Save.

However, If you did not send an invoice, you can categorize it to any sales account and refer it to the accountant. Doing so ensures you'll record everything correctly and avoid messing up your books.

Hi. We accepted payments in store via credit card. They come through my bank account as one big batch every couple of days from my 3 rd party processor.  Jus wasn’t clear on how to categorize - do I create a sales receipt for each customer.?

Yes, you can create a sales receipt and use credit card as your payment method if you haven't registered it on QuickBooks. Then combine them into a single large batch.

To do:

1. Click + New.
2. Select Sales receipt
3. Choose the customer from the Customer dropdown. Note: If you haven't set them up in QuickBooks yet, select Add a new customer.
4. Enter the sales info, such as the payment method.
5. Enter line items for the products and services you sold.
6. When you're done, select Save and send to email the receipt.
