Help with Running Report on Customer History

I own a sales company and have been trying to figure out the best way to run a report that will give me the following info quickly and easily.

 

I am trying to run a report that will show every customer we have, and the activity attached to each customer.  Basically my sales company gives our sales reps 4 months of account protection.  If any account is not sold within that 4 month time frame, the account is now available for anyone to sell.  This way no customer will go any period of time with no activity.

 

The way a sales rep can keep their customer is to re-sell the account.  So the 4 month protection period starts on the day after we receive payment from customer, as this is usually the last activity associated with the account before it will be sold again.

 

So I want to run a report that can show every customer we have, and the last time a payment was received, or a sales order has been written, so I can keep better track of the 4 month protection we offer our sales reps.

 

I want the report to be able to show all customers and the last time any activity was associated with each.  If I can see that we have not received a payment from the customer, and no new sales orders written within the time frame of 4 months it will allow me to print a list of all customers that have now gone past the protection period and are up for grabs.

 

I want to put a copy of these reports in a place where my sales reps can see which customers are available to call and sell because they are now past the date of protection.

 

Example: 

ABC Company

- Last Payment received 1-1-19 

- No new sales or activity past this date, so on 5-1-19 - 4 months later - if still no activity, this needs to be added to the list of all out of protection accounts.

 

I want to be able to print this list of accounts that are out of protection on a daily basis or weekly or whenever.

 

Sorry for such a long explanation, im sure this could have been summed up in a couple sentences, but i thought a longer explanation was better.

 

So if anyone can help me get this report setup and ran, and how I can update it anytime in the future to allow me to always have an up to date list of accounts out of protection I would REALLY APPRECIATE IT.  This is just business that we are not getting because of a darn report!!

Let me help you pull up the your desired report in QuickBooks Desktop.

 

You can  run the Transaction List by Customer report. This report lists all customer-related transactions (invoices, customer payments, etc.) that occurred within a period of time. The transactions are grouped under each customer's name.

 

Here's how:

  1. Go to the Reports menu.
  2. Choose Customers & Receivables.
  3. Click Transaction List by Customer.

You may also want to customize this report and show which columns you want to include in the report. Please refer to this article to learn more: Customize reports in QuickBooks Desktop.
