How can I apply a payment from a customer who is not on the invoice?

I had to invoice an elementary school for rental of a facility.  When the payment arrived it was from the county school organization.  I don't want to change the name on the invoice, but I don't see a way to apply payment from the county on the elementary school's account.  Is there a workaround?

How can I apply a payment from a customer who is not on the invoice?

Hello @MLMattersRox,

 

You can enter the payment as an open credit and transfer it to your customer on the invoice to mark it as paid. But you'll have to create a clearing account first to be used as the holding account to transfer the payment.

  1. Go to Lists.
  2. Select Chart of Accounts.
  3. Under Account, select New.
  4. Choose Bank.
  5. Enter Clearing Account as the name of your account.
  6. Click Save & close.

Once done, you'll have to record the payment and transfer it by creating a journal entry. You can read this article for detailed instruction: Transfer customer credit from one job to another.
