How can I stop my invoices from saying paid when I send them out? Why did this start?

Nice to see you here in the Community space, @texaspill.

 

In QuickBooks Online (QBO), there is a feature that offers automation. It might be, turned on, that is why it marks your invoices as paid. 

 

Here's how to check:

  1. Click the Gear icon at the top.
  2. Select Account and Settings.
  3. In the left menu, tap Advanced.
  4. Hit the Pencil icon in the Automation section.
  5. Check if there is a check-mark in the box next to Automatically apply credits.

If yes, then, that is the reason. To turn off, remove the check-mark in the box next to Automatically apply credits. Then, tap Save and Done

 

Once done, log out and log back in. Then, try to create invoices again. Check to see if it still marked invoices as paid.

Hi my name is Paul. I have a problem with my end of the year books. I have several customers that are showing I made more than I did because it's taking a $1000 invoice and payment and saying I made 2000 not 1000. How do I fix this

I'm here to help you fix this issue you encountered with your invoice in QuickBooks Online.

 

Let's review first if you have a duplicate transaction with your invoice. 

 

Here's how:

 

  1. Go to the Reports tab and search for Invoice List.
  2.  Set the report criteria to All Dates and Current then you see all current outstanding and paid invoices.

 

If you see a double entered invoice, you can delete or void it to completely erase it from your books.

 

  1. Find and open the invoice you want to delete.
  2. In the Invoice window, click More at the bottom.
  3. Choose either Delete or Void, then click Yes to confirm

Thanks for chiming in on this thread. Let's work together to perform troubleshooting steps to prevent invoices from appearing as paid in the QuickBooks Online (QBO) mobile app.

 

There's an option in QBO that applies credits to your invoices automatically. It's possible that you've enabled this feature, which explains why your invoices are marked as paid. To turn this off, log in to your account in your mobile browser and refer to the steps outlined by my colleague, MirriamM, above.

 

If it's not enabled, let's reset your mobile app to its default settings to refresh its data. It's also similar to clearing the cache from your web browser. Here's how:

 

  1. Go to the Help menu.
  2. Select Help and Feedback.
  3. Click Reset App Data or Refresh Data and tap OK.

 

Alternatively, uninstall the QBO app and install it again to access the program in a clean slate. Simply tap and hold the app, then press the Delete app button. There's no need to be concerned about deleting it because it won't remove your past transactions and subscription. Once done, reinstall the app.

 

Furthermore, you may customize your invoice templates directly from the mobile app if you want to make updates.
