I'm glad you made it here, debi7.

We have received reported cases from other users who were having issues in searching for the Custom Fields from the Advance Search feature. Our engineers are fully aware of this and are closely working on getting this fixed.

In the meantime, I suggest contacting our QuickBooks Care Support. They can help add your company information to the list of affected users. This way, it will be easier for them to communicate and update you on the progress of the current investigation.

Here's how you can reach them:

  1. Go to the Help menu at the upper right.
  2. Select Contact Us.
  3. Enter your concern.
  4. Click Let’s talk.
  5. Choose Get a callback
  6. Type in your contact info.
  7. Select Confirm my call.

Once our engineers releases the fix, it will automatically be applied to your QuickBooks Online account.

Let me know if there's anything I can help. I'm always happy to lend a hand. Wishing you the best of luck!

Is this also a software issue for QBO Plus or has that functionality been removed from the Plus level subscription altogether? It was there when we started our subscription 3 months ago, but, now that I need to use it, I can't...

Good to have you here, Teesa66.

I want to make sure you're able to use the Advanced search feature in QuickBooks Online. Let's determine if this has something to do with cache-related issues.

Please access your account using an Incognito window to see if you can utilize the Advanced search feature. You can use these keyboard shortcuts depending on the browser you're using:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Internet Explorer: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

If it works, I recommend clearing your regular browser's cache. This resolves most issues with the web pages. As an alternative, you can also try other supported browsers. You can check it here to find out what browser you need for the best QuickBooks experience.

Drop me a comment below on how the suggestions work. I want to make sure this is taken care of.

How come the option search custom fields in the advanced search is NO longer available? The custom fields still appear on invoices and reports.

Hello GlinetteC,

Thanks for the follow up!

Opening an incog window in Google Chrome makes no difference...I'm still not able to search the custom fields I've created in Purchase Orders.  Clearing the cache also has no effect.

I AM able to search for data in the custom fields I added to my Invoice template by typing my keyword (i.e. "3131") in the transaction search window. Based on the "Filter, search and sort with custom fields" article (updated 1 day ago) - https://quickbooks.intuit.com/learn-support/en-us/sales-orders/filter-search-and-sort-with-custom-fi... - it sounds like this function is only going to be available to the QBO Advanced subscribers going forward? ("Learn how to use custom fields to organize and track data in QuickBooks Online Advanced.") But as a new QBO Plus subscriber, I was told I could set up & use the custom fields when I first started. I set up these fields and have been capturing the data I need to be able to search for while entering all the prior POs for this year. Is this functionality being removed from Plus users?

Thanks for your prompt response, @Teesa66.

To clarify, adding customer field to sales forms is available for QuickBooks Online Essentials, Plus, and Advanced versions. Here's the best article for this process: How to add custom fields to invoices. It helps you learn about the basic use of the custom fields in the invoice, estimate, and sales receipt .

You're already in the right direction when searching for data using the audit log. It's where you can also find transactions to view by typing the keyword the way you did.

Additionally, the article you've shared is about the special functionality that lets you enhance the custom fields, which is only available in the Advanced version.

The advantage of this special feature in the Advanced version is you can optimize the custom fields not only for sales forms but the expense forms as well.

Should you wish to take advantage of this feature, you can upgrade to QuickBooks Online Advanced. Then, follow the steps to create, add, and edit custom fields. It will help you learn about how to create and used the enhanced custom fields in QBO for both sales and expense forms.

Let me know if you have additional questions. We're always delighted to help.

How come the option search custom fields in the advanced search is NO longer available? The custom fields still appear on invoices and reports.

Thank you for the response, KatherineJoyce O!

To clarify, I am able to search for data captured in my custom Invoice fields. What I need to be able to do is to search for data I've entered in the custom fields on my Purchase Order template. It does me no good to add a vehicle ID (one of my custom PO fields) if I can't go back and search my POs for parts I've purchased for this specific vehicle.

Again, I'm not having an issue with custom fields on my Invoices, just my Purchase Orders...

Any help would be appreciated!

Hey there, Teesa66. Thanks for following up with the Community.

I have some information to share with you about filtering, searching for, and sorting data entered in custom fields on purchase orders. This info will be helpful to understand how it works.

You mentioned in your previous post that you're using QuickBooks Online Plus, which is a fantastic plan. There's only one QBO subscription level that includes the ability to filter, search, and sort these entries, this would be our Advanced option.

If interested, you can upgrade to QBOA which will enable the feature you're looking for.

Please don't hesitate to respond here if you have any other questions, I'm just a post away. Have a great day!

ZackE,

Thanks for the clarification...So I can capture the data in the custom PO fields, but not do anything with it. Not what I wanted to hear, but I guess I shouldn't be surprised...I'm starting to get used to the "bait & switch" process in QBO.
