How do I add sales tax to footer data field on Quickbooks invoice created from POS account charges?

We create account charges in POS.  After financial exchange w/ Quickbooks, our customers invoices are automatically generated by Quickbooks from the financial exchange data.

We have custom invoices that are designed to display tax in the Sales Tax data field in the footer of our invoice.  Unfortunatly the financial exchange creates invoices with our state sales tax as a line item, instead of a footer item.  The Sales Tax data field in the footer is populated w/ tax item “POS Sales Tax 0.0%” (See an image of our invoice at the bottom)

During the financial exchange, POS will automatically create a sales tax item in Quickbooks (it is an inactive item, you must check “Include inactive” to see it in the item list) with the name of ”POS Sales Tax” and a description of “Tax item used for transactions created in QuickBooks POS” and a Tax Rate of “0.0%”.

The Sales Tax data field in the footer of our custom invoices is filled in w/ this “POS Sales Tax” tax item.  This causes the sales tax in our invoice footers to be “0.0%” and “$0.0”.  While our sales tax is correctly calculated as a line item, we want it to appear in the footer like we’ve designed our invoices.

So far the only thing we can do to fix this is to manually go into each and every invoice and:  1) delete the sales tax line item   2) select the TAX drop down list and change it from POS Sales Tax to our State Sales Tax Item that we’ve created.

Is there anyway to automatically display sales tax in the footer data field on Quickbooks invoice created from POS account charges?

Done been down this road with tech support. You can't do it. The POS tax will always show as a line item an not in the footer as would be if your invoices were being created in QuickBooks locally. The way POS sends over sales tax amounts mandates that it be done by using a line item field like a regular item being sold on the invoice. Stupid? Yes, but verified. It's a shame that QuickBooks and POS teams don't work a little closer together to make the two play a little nicer together.

OK glad you confirmed that this is the only way it can be done.  So the only way to fix this for "neat" looking invoices is to do it manually as I detailed above.

We just switched from QB 2004 for Windows to QB 2015 for MAC and in the old QB we were able to format it so that Sales tax shows in the footer section as a total of all calculated tax from taxable items in the estimate/invoice. I’m trying to find a way to do it in our new QB and so far no luck. We have a similar invoice set up as in the attached picture and we like to keep it that way.

The Sales Tax function in QB Financial relies on "calculation" but you are sending data as a transaction, so there is no further calculation. Your data is not wrong and you can select a different invoice template so you don't even see those Footer fields.

We like our template and we want Sales Tax to appear in the Footer fields, and disappear as a line item.  Doing so makes our invoice clear and concise for our customer.
