I received a refund check from a vendor. I use Quickbooks Online. How do I receive in a refund check from a vendor.

How do I enter a refund check into Quickbooks Online

I can show you how to record the refund check that you've received from your vendor, @Vicki24.


You can record the refund check from the vendor by depositing the money you got from the refund. Then, use Pay bills to connect the bank deposit to the vendor.


First, enter the credit to the expense account that you use for the vendor:

  1. Click the + New button and choose Vendor credit.
  2. Set all the information for this vendor.
  3. Depending on how you record purchases with this vendor, enter the Category details or Item details
  4. Select Save and close.                               

Next, deposit the money you got from the refund:

  1. Go back to the + New button and select Bank Deposit.  
  2. In the Account drop-down menu, select the account where you got the refund.
  3. In the Add funds to this deposit section, fill out the following fields.
    • Set the vendor name from the Received from column.
    • Select Accounts Payable for the Account.
    • Enter the method your vendor used to refund you on the Payment method.
    • Set the amount of your refund in the Amount column.
  4. Click Save and new once you're done. 

Lastly, use Pay Bills to connect the bank deposit to the vendor credit:

  1. From the + New button select Pay Bills.
  2. Select the bank deposit you just created.
  3. Click Save and closepaybills qbo.JPG
