How do I stop QBO from creating a duplicate invoice (w/different #) when syncing Housecall invoices for customers with a separate 'bill to'?

Invoice created in Housecall that is billed to a parent customer. The original invoice syncs to QBO. QBO also generates a duplicate with a different number that states "Opening Balance" Housecall support says this is a known QBO issue. Looking for solutions to prevent duplication.

Thanks for reaching out to the Community and contacting our phone support.

 

That's right, duplication of some invoices is a known issue in QuickBooks Online. As of today, there's no update yet and workaround given. Since you've already called, rest assured,  your account details are added on our notification list for INV-22239. You'll get all the updates via email.

I’m happy you turned to the Community looking for updates regarding the duplication of invoice numbers. Let me share some information about this.


I checked with my resources, and we already have corrected the issue. If you still experience the same problem, allow me to help by performing some basic troubleshooting steps.


First, open your company using an Incognito window or Private Browsing. This allows you to perform a new search that isn't impacted by previous browsing history.


Here’s how:

 

  • For Chrome press Ctrl+Shift+N.
  • For Internet Explorer or Firefox, press Ctrl+Shift+P.
  • For Safari, hold down Command+Shift+N.


If you can't create invoices without duplicating the transaction numbers, I recommend clearing the cache and cookies of your regular browser. Doing so removes your browsing history and the next time you display a web page everything must be downloaded anew.


That should get you on the right track.

Hi, 

Thank you for the prompt response but unfortunately this does not solve my problem.

Here's what's happening, if you add a sub customer in Housecall Pro and create an invoice. There will be 2 different invoices created in QBO. One invoice will be the actual invoice created in Housecall Pro and the other invoice will have no Invoice number. It will state "Opening Balance" in the line item and an amount on it. You can see the attachment on how it looks like. 

What I've found so far, if you edit the invoice after it has been created in Housecall Pro, the invoice will be duplicated in QBO as an opening Balance. 

Please investigate this issue and let me know what can be done.

Thank you for the detailed information about your concern. I’m here to make sure this issue with your invoices gets taken care of.

 

We have not received reports from other users like you who are having issues with their invoices from Housecall Pro. Since you’re using a third-party application to enter these transactions, I recommend contacting them so they can help look for ways on preventing duplicates to happen in the future.

 

In the meantime, you can manually delete the duplicates in QBO. Here’s how:
1.    Find the transactions you want to delete, and open them one at a time.
2.    Click More at the bottom of the page.
3.    Choose Delete.
4.    Hit Yes to confirm the deletion.

Thank you for the detailed reply. 
Upon further investigation I've found that a  duplicate invoice with line item "opening balance"  will be created in QBO if you change the total amount on your invoice after completing the job in HCP. 
At this moment I have contacted HCP to resolve this issue and I am waiting to hear back from them. Our only option at the moment is to search for "opening balance" in the search bar to find all these duplicate invoices.
