How to add Inventory with bill without duplicating

I am trying to add inventory so that it is attached to a bill but when I'm done I always have twice as much inventory as I'm supposed to; let's say I added 100 items - the report will say 100 items for inventory adjustment and then 100 items attached to the bill (or purchase order).

 

What am I doing wrong here and what is the correct way to do this?

Thanks for posting your concern here in the Community, @kmasta. I'm here to share a few details about when to create a bill for your items and when to create inventory adjustment. 

 

Quantities and values in the inventory automatically recalculate after every purchase and sale. Thus, adding quantities in the inventory and creating inventory from a bill at the same time will create duplicates. 

 

To avoid this from happening, you can create an inventory first with zero on-hand items. Then, add quantities from a bill. Here's how: 

 

  1. Go to the Inventory menu.
  2. Select New Inventory Item.
  3. Choose Inventory Part in the Type drop-down list.
  4. Enter the name of the item in the Item Name field.
  5. Enter the Cost and Sales Price of the item.
  6. Select an Income Account from the drop-down list.
  7. You can put 0 under the On Hand field. 
  8. Click OK to save it.

 

To add inventory quantities in the bill. Here's how:

 

  1. Click Vendors.
  2. Choose Enter Bills.
  3. Fill in the necessary fields.
  4. Select the Items tab.
  5. Select an item under the Item column.
  6. Enter quantity under the QTY column.
  7. Click Save & New or Save & Close.

 

Once done, inventory quantities and values are automatically recalculated. You can also read through our help article: Adjust inventory quantity or value. It guides you on how to create inventory adjustment if you need to in the future. 

 

By the way, can you please tell us what type of report did you pulled up so we can check if the items are duplicated?

Hi That sounds like exactly what I need to do, thank you!!

I was using the Inventory Valuation report.  To fix the problem for January Feb and March entries I deleted the bill associated because I do not know how to delete inventory quantity adjustments.  

 

For the future I will use your method!
