How to attach PDF when sending estimate in email

When our customer received the estimate in the email, they can see the estimate in PDF attached in the email and there is a button/link to view. But now, they cannot see the attachment and there is no button to change the status of the estimate. Does QBO update/change this function? Or is there any way I can attach the Pdf to the estimate email when I send out?

When you go to print/preview the estimate you can download or print to PDF the Estimate, which will show up in your recent downloads to easily attach to your customer email. It's helpful to include a pdf copy of invoices or estimates with the email that includes the link to the customer estimate or invoice, as we cannot control the browser or email client used by our customers.

I've tried sending an estimate to my own email, and I was able to receive the PDF form of it.  To better isolate this unusual software behavior, let's perform some basic troubleshooting steps.

 

To start with, try logging into a private window or switch to a different browser. The web browser keeps files in its cache and saves the pages you have previously visited, and sometimes the stored files can affect communication between the browser and QuickBooks Online. You can follow the shortcut key command below to start private browsing.

 

  • Press Ctrl + Shift + N keys on your keyboard (Google Chrome)
  • Press Ctrl + Shift + P keys on your keyboard (Firefox or Internet Explorer)
  • Press Control + Option + P keys on your keyboard (Safari)

If it works, clear your browser's cache to start fresh. Make sure to remember your saved information, such as login IDs and passwords. Here's an article that can guide you through the process: How do I clear temporary internet files and cache?

How to attach PDF when sending estimate in email

Thank you for the information. It works, I can see the PDF attachment in the email now.

 

Another question is that it used to have a link or a button in the email body that could lead our customer to see the estimate or change the status (accepted/declined the estimate). Now the email only shows plain text and no link/button. Is this feature not available any more? Is there any way we can know whether the customers accept/decline the estimate?

This issue with plain text format when sending email for estimate in QuickBooks Online, is currently under investigation. Our engineers are currently investigating its cause to come up with a fix. In the meantime, we can use the Online Delivery as your delivery method.


Here’s how:

 

  1. Go to the Gear icon.
  2. Click Accounts and Settings.
  3. Select Sales tab.
  4. Choose Online Delivery.
  5. Under Additional email options for invoices, choose HTML from the drop down arrow.
  6. Click Save and Done.

While they are working towards resolving this issue, I suggest getting in touch with our Care Support Team. This is to obtain further information on this investigation and add you to the list of affected users.
