How to record expenditure and invoices that were incurred before i set up QB and not from my linked bank accounts?

Welcome aboard to the Community, userstuart.

Recording your expenditures and invoices can easily be done. I'll be your guide today on how to account for the transactions in QBO.

When tracking invoices, enter them the same way they’re created. This will create a record of all transactions you sent. Otherwise, input the entries by batch.

Here's how:

  1. Record all charges and credits for your customers followed by the payments.
  2. Print a single invoice for each customer to clear their invoice record of the past activity.
  3. Enter remaining charges and credits you haven't informed customers of and send actual invoices. This method doesn't leave a record of the transactions you sent.

For your expenditures, record them in the following order: Bills, credits from vendors, and payments. This to properly apply the credits and the payments to the bills. For the step by step process, go to the Record historical vendor transactions section in this article: Enter historical information.

For future reference, I’m adding these resources to help you get acclimated to the features and processes in QBO.

Keep me posted if you have any clarifications or questions about the product. Please know I’m always ready to assist further. Wishing you and your business continued success.
