How to set up VAT number on my profile to show on the invoice?

Hello,

I'm just getting started on the QB Online trial, I've set most things up but I can't seem to input my vat number onto my profile, so that it shows up on my invoice can anyone help..

 

Also I've set my bank up but when I send an invoice my details aren't on the invoice for payment.

Any help is appreciated as I've tried phoning QB Help line and have been on hold for 30mins a time.

Hi Michael,

 

To input your VAT number into your QuickBooks Online profile navigate to 'Taxes' on the left hand navigation menu. Near the top right hand side of your screen you will see a box that says 'Edit VAT' and then from the drop-down menu select 'Edit settings' (see attachment). You will clearly see an area to add your VAT registration number. Once you are happy everything is accurate, click 'Save' in the bottom right hand side of the screen. 

 

In regards to your invoices, you can edit which details appear on your invoice by navigating to the company cog (top right hand corner) and selecting 'Custom form styles' under the 'Your Company' heading. You will see a standard template appear which is for your invoices. Select the blue hyper link that shows 'Edit'. This will open up a page that is titled 'Edit invoices that turn heads and open wallets'. From the tabs at the top you can work along editing your invoice as you go. To add in payment details (for example BACS payment methods' simply click on 'Content' and click on the bottom half of your invoice on the right hand side of the screen. Here it will allow you to add payment details into the box and a footer.

Hi James,

 

Thanks. Yes, I have it working now. I added the GB and logged out and in and did a test invoice, in invoice set up it was still showing xxxxxx. not sure i saw a preview button 

but I am on the online version but will double check, its probably just in more button or something.

Another question tho! I want to set up line discount on my sales orders, at the moment they are invoice discounts so when I want to apply 40% discount to my Xpresso Martini drinks it applies it to the shipment cost as well.

 

Let me know your thoughts.

Yes, I am using inventory on quick books plus online if that is relevant?

Welcome to the QB Community. Where are you based out of?

 

QuickBooks created a pretty hefty database dedicated to VAT info, but I'd recommend checking out the "getting started" portion before jumping in. @EmilyMockett might have some interesting material. 

 

That's awesome to hear you've successfully connected your bank accounts! Have you checked out the Custom Form Styles page in QBO yet? You can create your invoice there and add all the data you want to include (and don't forget to customize it to delight your customers)!

Hi,

 

your reply dose not quite answer the question, yes they are the options to edit and custom invoice but the VAT is a auto display and just comes up with xxxxxxx etc, I have added my VAT number to edit vat but it still only displays xxxxxxx etc.

 

How do i get this to display my vat number io the correct vat posistion on the invoice?

 

I have added my VAT to VAT edit setup, is there a tick box I need to tick?

Hello @mrsamlivingston,

 

Sounds like you've already done all the work you need to display your VAT #. Are you seeing the VAT xxx in the custom form styles module? 

 

Create a new invoice (ideally not one you're going to send) and click "Preview" at the bottom - see my sample down below. Do you still see the VAT xxx, or the correct number?

Hi,

 

So as long as you have entered the VAT number in the VAT screen this should now appear in your invoices. Please note that you will only see that correct VAT number when you click on 'Print or Preview' on an ACTUAL invoice as mentioned by James and not when you 'Customise' (this will just show XXXXX'

Hi,

 

You could set up a Product/Service linked to an expense account called 'Discounts given'. You could then enter this on the invoice as a line under your Xpresso Martini product and the numerical figure with a minus in front of it.

Hi Emily,

 

Pretty good idea, I did this with Mycrosoft Nav, but we only did it for addiotnal discounts becasue it makes a mess of margin reporting but that is not really a big problem right now

and its more important the customer can see what they are are getteting and the shipmant cost is correct so might play with your idea and see if it works for me.

Hi Emily,

 

I was having the same problem as Michael but when I put in my VAT Number it shows up in the invoice preview as other registration number, instead of VAT registration number as shown in the custom form styles. Any idea how to get this to say VAT Number?

Okay thanks, as far as Im aware it is turned on, I did have screenshot in the last post but I will put it up again. If you see in the top left corner it says other registration number 10065608.

Select your 'Taxes' tab in the left hand navigation menu.

Click on 'Edit VAT' in the top right hand corner. Click on 'Edit settings'. 

Do you have your VAT registration number in here?

Yes, it is there, were you able to see the last screenshot?

Hi Sarah,

 

Firstly I would suggest clearing your cache and cookies in your web browser and logging back in. If this does not work I am thinking that this may be a glitch in the system. I have never seen this before. Maybe give QuickBooks support a call. Sorry I couldn't help any further.

Good Evening @sarahshonfeld,

 

Looks like you've added a custom vat agency. Look for a drop down box in the top left hand side of your tax center to see if you have more than one tax figure being collected. This can happen if you incorrectly use the system when trying to create a custom VAT Code.

 

If you are just wanting to have standard VAT Codes, you shouldn't have to create another tax agency - have you, or are you using any specific, custom VAT codes on your transactions?

Hi, I tried this, but there was no option to do so.

I select "edit sales tax settings", but there's nowhere in those setting to enter a VAT number. just asks what the standard tax rate is etc.

What product are you using, are you using our Desktop or Online version? Are you using UK or a different Region?

 

The button should be "Edit Settings" - can you drop us a screenshot of the screen you're seeing?

I used to use Pro 2013, just switched to QB online, USA version (although I'm based in Kingston, Jamaica). I'm keeping track of my sales tax etc. all info was imported, however, I just can't get the VAT number on the invoice. I created a custom field, but this requires the number to be input for each invoice...

Thanks for sticking with us as you move to the QuickBooks Online community. Let me give you some details of how the program handles sales tax.


Due to some region specific features, the QuickBooks Online US version doesn’t have the option to track Vat. It only is able to manage the US Sales taxes.  


You’re already doing the correct workaround on how you can enter the Vat number on invoices. The custom fields can help users include other information to reflect on each transaction.


You can also opt to use the QuickBooks Online International version specifically for Jamaica. You’ll want to start using the free trial version to explore and see if it fits to your business needs.


Here’s how:

  1. Visit this link: https://quickbooks.intuit.com/choose-country/
  2. Choose North America, then scroll down and select Jamaica.
  3. On the next page, click Free trial, select the Edition to use and click the Free 30-Day Trial.
