I can't find a vendor in my vendor list but I have posted transactions for that vendor

Hello, @nicole54.

I'm here to ensure you're able to see the vendor's name in QuickBooks Online. This way, you can review their transactions.

There are two possible reasons why the vendor's name is missing from the vendor list.

  • The vendor marked inactive accidentally
  • Browsers are full of cache and cookies

To check the vendor status, please follow the steps below.

  1. Go to the Expenses tab on the left side.
  2. Choose Vendor
  3. Click the small gear icon beside the Printer icon.
  4. Check the Include Inactive under Other
  5. Tap Make active to re-show the name in the list.

If you're unable to see it in the inactive list, I'd suggest performing fundamental troubleshooting steps to isolate the difficulty. Stored cache files on your browser can sometimes cause this to occur.

To begin, please access your account via incognito. These browsers won't save any browsing histories.

Feel free to use these shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

Once logged in, go back to the Vendor list to verify if it's already there. If you're able to see it, we'll have to go back to your regular browser and clear the cache to eliminate the junk files. Using other supported browsers is a good alternative too.

Additionally, you can always check the audit log in your product to review the company activities. For more information, visit this link: Use the audit log in QuickBooks Online.

I've also added articles about handling duplicate vendor accounts, reports, and transactions.

If you have any other questions or concerns about QuickBooks Online, please reach out to me. Keep safe always, nicole54.

Thanks I tried both steps and it still isn't showing up.  I always access my quickbooks from an incognito chrome browser anyway.

How else can I find it?

Thanks.  I tried both of those and the Vendor still isn't showing up in my vendor list.  I always use an incognito chrome browser to access my QBO as well.

Any other tips on how I can get it to show up?

I want to make sure this is taken care of, @nicole54.

Firstly, I want to appreciate your time and effort to get your vendor showing on the Vendor list. In the meantime, let's try to run the Vendor Contact List report to verify your missing vendor from there. Here's how:

  1. In your QuickBooks Online (QBO), click Report from the left menu.
  2. Search for Vendor Contact List report.1.PNG
  3. From the report, find the vendor you can't find in your vendor list.

If you can't still find the vendor from the report, I recommend reaching out to our QuickBooks Support Team. This way, they can further investigate this matter and provide additional troubleshooting steps to get this resolved. They can also create an investigation ticket if other users are experiencing the same.

To reach them, please follow the steps below:

  1. Click the Help button.
  2. In the QuickBooks Assistance chatbox, select Talk to a human and choose I still need a human.
  3. Hit Contact Us.

If you don't have this option, check out this article for another way of reaching out to our support team and its support hours: QuickBooks Online Support.

I'm adding this article to learn how to view your transactions with your vendors: View vendor transactions.

Please visit our Community forums again if you have other questions for QuickBooks Online, managing vendors, and running reports. I'm always around if you need any help. Have a great day!
