Congrats on the new client! I'd be glad to lend a hand to show you how to view their QuickBooks Desktop data.

 

Due to the differences between the QuickBooks Desktop and Online products, there isn't a way to directly copy the records from your client's account to yours. However, there are other options to consider:

Purchase a one time license of QB Desktop Premier Accountant to manage your QB Desktop (Pro/Premier) client. You may purchase it thru a partner/reseller with a lower price.

I can share with you the detailed steps on how you can access the data on your QuickBooks Online (QBO) account.

 

For the pre-2018 files that are stored in QuickBooks Desktop (QBDT), the client needs to create a backup copy of those files, then restore them to an updated QBDT. If they don't have one, they can download a trial account of QuickBooks Desktop. This way, your client can export the files to the active QBO account.

 

For the 2018 file, the client must export the data from the mothballed QBO account, then import them to the updated one (where the pre-2018 files are imported).

 

To export the data:

  1. On your QuickBooks account, go to the Gear icon.
  2. Select which data you'd like to export.
  3. Click on the Export to Excel button.

To import the data:

  1. Log in to the new account, then click on the Gear icon at the upper right.
  2. Under Tools, choose Import Data.
  3. Select the type of data that you'd like to import.
  4. Click Browse to select a file to be imported.
  5. Click on the Next button until finished.
