I need to inactive over 500 accounts in my chart of accounts in Quickbooks online. How do I do this easily?

The company I work for flips houses and sets up several new accounts in the chart of accounts for each property it buys (repairs, legal fees, licenses, borrowing costs). Over many years there are now over 600 accounts that I would like to inactivate all at once. Is there a solution?

I need to inactive over 500 accounts in my chart of accounts in Quickbooks online. How do I do this easily?

Yes, we can batch inactivate accounts in QuickBooks Online (QBO), Eddie. You can make up to 300 accounts inactive at a time. Let me guide you through the process of achieving your goal.

 

To begin, let’s adjust the Page Size in the Chart of accounts to facilitate a more manageable view of your accounts.

 

  1. Navigate to Transactions, then Chart of accounts.
  1. Click the mini Gear icon and select 300 as the Page Size.

Once done, we can proceed to inactivate accounts you no longer plan to use:

 

  1. On the Chart of accounts page, check the boxes next to the accounts you want to inactivate.
  2. Click the Batch actions dropdown button.
  3. Hit Make inactive.

After that, let's move to the next page and repeat the process for the remaining accounts.
