I’m here to help and share information about how to change the status of your paid invoice from Not deposited to Deposited in QuickBooks Online.   

 

When receiving payment in QuickBooks Online, one possible reason why the paid invoices stay on the Not Deposited status is that you might have chosen the Undeposited Funds as the Deposit to account when receiving your client's payment.   

 

To change the status to deposited, then you may need to do Bank Deposit. Here's how to do it:  

 

  1. Go to the + New icon and select Bank deposit.
  2. Drop down arrow on the Choose an account, select the bank account you wish to deposit the payments.
  3. In the Received from column, select the invoices by putting a check-mark on the box.
  4. Then, click Save and close.

I followed those steps and the invoice is now marked as deposited. I'm still not seeing a charge on my personal bank account I sent money from, or a payment deposited into my business account. The deposits tab under Sales is still not showing any deposits made either.

 

Is the bank transfer option automated, or does it take time for the deposit go through?

The steps provided by AileneA to deposit the amount is correct. Though the invoice in QBO is automatically marked as Paid when your customer submits the payment, the actual amount is not yet deposited to your real bank account.

 

When using QuickBooks Payments for the first time, the payment will be deposited to your real bank account within 5 business days. This takes a bit longer because we are still setting up your account. The next customer payments will be deposited much faster.

Is that also why the Deposits tab under Sales isn't showing any deposits?

What you said is right. As my peer @JamesDuanT stated above, the initial deposit takes some time for new users of QuickBooks Payments. It's due to your account that's under set up. Once done, the next deposits will appear faster than before.
