I upload receipts to create billable expenses, from those I create an invoice. The customer / payer wants to see the receipts. Will QB download JUST the right recepts?

I.e. will QB create a small batch of receipt images that match the invoice I sent out?  Will QB readily export just those images? What format will the images be available to me, because I need to forward them to my customer so they'll pay me.

The receipts that you have uploaded in QBO won't be the same as you send it to the customers.
 

QBO will get the data from the receipts and retain them as new information. Thus, customers will receive the invoice on a QBO format.

My payer REQUIRES to see copies/pdfs of the original receipts.   How can images of receipts be sent with my outbound invoice?  Ok that QB won't attach them to my outbound invoice.   Will QB make the receipt images readily accessible, sorted by invoice?  Will QB export just THE APPROPRIATE BATCH of receipt images, to back up my outbound invoice?

Hi @Jenn59,

 

Initially, your sent invoices don't have any attachments. You do have the option to download a PDF copy of the billable expense, then attach it to your invoice.

 

Here's how to download your billable expense transaction as a PDF file:

  1. Highlight the Expenses tab, then select Expenses.
  2. On the list, search for the billable expense transaction in question.
  3. Click the Down Arrow icon beside the View/Edit link, then choose Print.
  4. On the Print Preview page, click the Download button. This will download the expense transaction as a PDF file.

To attach the PDF file, follow these steps:

  1. Open the invoice where the previous billable expense transaction is supposed to be attached.
  2. Scroll at the bottom left of the invoice, then click the Attachments box. 
  3. On the window that appears, search where you downloaded the PDF file, then click Open to attach it.
  4. (Optional) Put a check on the Attach to email option.
  5. Hit Save and send once done.

Thanks Ryan_M.  Please clarify.  If I follow your steps, will I send email attachments of 

>images of the receipts themselves? (which is what I need)

or

>images of the QB expense transactions? 

I want to send images of the receipts themselves.   The customer / funder won't reimburse unless they see images of the receipts themselves.

You can send the sales transaction with the images of the receipts for your customer to reimburse you. Let's make sure the Attach to email option is enabled when sending the transaction. Then, ensure we follow the acceptable file types when uploading the attachment.

 

Once done, inform your customer to click the Download or Download all attachments link in the sent email. This way, they upload the image receipts together with the invoice.
