I want to update item names in Quickbooks Desktop Enterprise. I don't see an option to upload from excel using the internal item ID. Anyone know how to do this please?

How's you're day been so far? I hope it's been wonderful. At the moment, Item List imports only support the following fields:

 

  • Item Name
  • Item Type
  • Description of the Item
  • Income Account
  • Inventory Asset Account
  • Name of the COGS Account
  • On Hand Quantity
  • Cost of Item
  • Sales Price
  • Total Value
  • As Of Date
  • Is Passed Thru

 

For now, you'll need to manually edit these items inside of QuickBooks Desktop. I see how this could be a useful feature for you and your business, so I'll submit this idea to our Product Development Team. We take your feedback seriously, as it's how we grow.

So, just to be clear, there is no way to update item names in bulk?

 

Are there any third party tools that can help with that?

We have a way to update Item names by bulk, jacob12. 

 

Is the internal item ID you referred to is the Item Name? If so, we can import multiple items and modify it from there. I'll show you how:

  1. Go to the Lists menu and click Add/Edit Multiple List Entries
  2. From the List drop-down, let's select what type of item we'll import first. 
  3. Click the Customize Column at the upper-right of the window to add or remove columns. 
  4. Manage the columns and click OK
  5. In our Excel file, copy the cells that have the inventory item types and then copy and paste it within QuickBooks. 
  6. Edit them before clicking Save Changes

Do the same steps by selecting the other item type from the List drop-down. For more details, we can check out this article: Add and edit multiple customers, vendors, and items

Catherine - this seems like an extremely risky way to update item names since you are just relying on the items being the same order in the excel worksheet as they are in this list. 

 

Yes, you can sort the list, but if one item is missing from the excel worksheet or anything like that - then instead of getting an error on one item, you have now completely messed up all of your item names.

 

All other item attributes can be updated using the import from excel functionality.  This is infinitely safer - can I update the item names in that type of way?

You can import the excel file in QuickBooks once your changes have been made. Below I've included the steps on how you can do this. 

 

  1. Open QuickBooks and sign in to the company file. 
  2. Once you're signed in to the company file, open the File menu. 
  3. Choose Utilities then Import
  4. Then choose Excel Files

 

 

5. On the message that appears, select No

 

 

6. Hit Advanced Import on the right side. 

 

 

7. Browse to your Excel worksheet. 

8. Add a mapping.

9. Import when ready.

I am very sorry to be rude but this is getting ridiculous.  I'm pretty sure these are bot responses that just pick up on a keyword....

 

I know how to import from Excel.  But I would like to change the ITEM NAME.

 

When you import from Excel, Quickbooks uses the item name that you entered to try to find the item and modify other attributes.  If I put in a different item name, then Quickbooks won't find the item and will just create a new item.

 

I would like to use the Quickbooks Internal ID for the item so that Quickbooks has something else to lookup the item by, and then can change the Item Name.  Is this possible?

QuickBooks Desktop (QBDT) lets you edit multiple item list entries. However, it'll sort the list by item type.

 

To edit multiple item list in your QBDT, you can follow these steps:

  1. Go to the Lists menu.
  2. Select Add/Edit Multiple List Entries.
  3. Click the drop-down arrow under List and select an item type.
  4. Then type in the internal ID in the Find field to search item by ID. 1.PNG
