Merge to accounts

Let me help you merge your accounts in QuickBooks, @ytyebjee.

 

This is helpful if you want to sort out or clear duplicate account representation in your Chart of Accounts or your financial reports. Let's simply follow these steps below:

 

  1. Click the Gear icon and select Chart of Accounts.
  2. Go to the account you want to keep and select Edit from the drop-down in the Action column.
  3. Take note of the Name and Detail Type, and check if the Is subaccount option is marked. If it is marked, remember the parent account associated.
  4. Return to the Chart of Accounts by clicking Cancel.
  5. Go to the account which you don't want to use, and select Edit from the drop-down in the Action column.
  6. Change the Name and Detail Type, and mark Is subaccount as appropriate.
  7. Select Save, then choose Yes to confirm that you want to merge the two accounts.

 

I've also listed additional things to remember if you're merging two accounts with Is subaccount option:

 

  • If you are merging sub-accounts, make sure they are associated with the same parent account.
  • ​​​​​​​You won't be able to merge parent accounts that have existing sub-accounts.
  • If there's one sub-account make it a parent account by deselecting the Is sub-account option.

 

Please take note that if you're merging bank accounts that have reconciliation reports, it will delete the reports from the account that has been merged. However, the reconcile status (R) will remain on the merged transactions. I recommend saving reconciled reports before merging to avoid data loss. We also need to remove any symbol in the name of the accounts you're merging to avoid error message during the process.

 

In addition,there are other accounts that you cannot delete or merge because they are needed by the system. I've listed them below:

 

  • Default Service Income account

  • TDS Payable

  • TDS Receivable

  • Default Service Tax accounts

  • Default GST/VAT accounts

  • Default PAYG/PAYE accounts

  • Default CST accounts

  • Undeposited Funds

  • Uncategorized Income

  • Uncategorized Expense

  • Open Balance Equity

  • Retained Earnings
