My customer paid an invoice on 12/31/2020, but it didn't download from my bank into QuickBooks until 1/4/2021. Can I change the transaction date to match the 1099?

Since the customer's 1099 includes the invoice paid on 12/31/2020, but it didn't download into Quickbooks until 1/4/2021, the 2020 income totals for that customer don't match.

I'll help you record the invoice payment from your bank to match the 1099 income.

 

There are two ways you can perform to accomplish this. First, you can exclude the invoice payment and then manually enter it in QuickBooks if you don't have the option to edit the transaction.

 

Here's how to exclude it:

 

  1. Go to the Banking menu, and then choose the For Review tab.
  2. Look for and select the invoice payment dated 1/4/2021.
  3. Click the Exclude button.

    After that, you can recreate the invoice payment manually. Then, date it 12/31/2020. Once done, you can manually clear the transactions in the register. 

 

I'll guide you how:

 

  1. Navigate through the Accounting menu, and then select the Chart of Accounts tab.
  2. Look for and choose the bank account associated with the invoice payment.
  3. Click the View register link under the Action column.
  4. From the funnel icon drop-down, choose Receive payment as the Transaction Type.
  5. Select the invoice payment, and then click the box under the checkmark column until you see C.
  6. Click Save.

Second, you can open the transaction directly from the register if you have the option to edit it. Then, manually change the date to 12/31/2020. I've added a screenshot for your reference:

When you're all set, you're now ready to categorize and match your entries. This helps make sure you're putting them in the right accounts.

I was able to edit the transaction date by accessing the register through the Chart of Accounts, as you had suggested.  I had previously tried to edit the date from the entry under the "Banking" tab, but I didn't have the option to edit from there.  I also attempted your suggested procedure that involved excluding the entry first.  However once I excluded the entry, I couldn't edit it in the register (through the Chart of Accounts method) because the entry no longer appeared.  In any case, you pointed me in the right direction and got it solved.  Thanks for your help!
