On Estimate form, why does the 'Internal Memo' get published on the email copy that gets sent to customers? Think about it for a second .. it says *Internal*. Why?!

I created a sample estimate and tested out  the "Internal Memo". Turns out, your "Internal Memo" isn't very internal. I've circled the "*Internal * or *External Memo*" in the body of the email sent to clients. 

Could someone please get back to me about why an Internal Memo is being published in the body of the email being sent to clients? Needless to say, this is a major problem.

You can follow these steps to ensure that your internal notes are not displayed or published on the actual estimate.

  1. Go to the Gear icon.
  2. Select Account and Settings
  3. Choose the Sales tab.
  4. Click on the Sales form content field. 
  5. Under Custom fields, use the Internal checkmark boxes to add the fields.
  6. Make sure the Public boxes are not checked.  
  7. Once you're finished click Save and then Done

Thank you for trying to help. I followed the steps and found the public box unchecked. 

Please see screenshot of my finding.

 

I found a work-around but it's not one that I like. There's two options for contents of the Estimate email:

  1. Detail view - includes the estimate details in the body of the email as well as an attached file. This option *does* in fact display the internal memo even if the public box is unchecked as you suggested. This has to be a defect.
  2. Summary view - only includes the dollar amount of the estimate in the body of the email and the estimate breakdown details are included as an attachment. The Internal Memo field contents are *not* displayed in the body of the email with this option.

If there's anything else I ought to try, please let me know.

The second step you've provided would be the best option, very-moojay.

 

Additionally, you can save the estimate as a PDF, and then manually send it outside of QuickBooks.

 

Here's how to download the estimate:

  1. Open the estimate and click the Print or Preview link at the bottom.
  2. Select Print or Preview, and then click the Download icon located in the upper right corner.
