Hello @realjames:  

 

Did you mark that vendor as 1099?  Edit the vendor and see.  Add their FEIN or SSN and other details.  If they are tagged in their transaction to a 1099 mapped account and you paid them more than the $600 threshold, they should show.

Yup. But it was a little different than the others. I had entered my first vendor and did the full process. I'll call her Jane. I added Jane as a vendor. Add the the amount (over $1k) for her services. Then added a bill so she was paid. The next step was the 1099 process, which worked. I paid the fees and voila. Action completed.

Since it worked fine, I went through all the other steps for seven more vendors (contractors since they are paid performers in theatre). I think did the 1099 process again--and oops, had to pay the fee again since they were a separate groups, but ... lessons.

Once person (the problem) was not submitted. Her box was not ticked at the time. However, I went back and ticked the box. But she still does not show. She shows in the list of those needing the 1099, but once over on the other site, it shows all forms as being completed. I checked the list of 1099 forms and she is not there. 

But again, there's no option to add her there now. Her name simply won't ever show up. 

Now, I'm not sure it's related, but ... she was doing her taxes a few days ago and asked for my EIN (SSN I think I gave her) and she knew her amount since I relayed the total a week ago. In short, I think she did her full filing already. Though I would not think that changes what is needed on my end. I would presume I still have to report her earnings to the IRS as well as her. She just beat me to it. Maybe that plays a part?

So that's the full report. It's my first time doing it (just acquired the dinner theatre company last year). With all the paperwork, I start to think, "Argh! I think I like just acting in the company so much more!"

There are other things that we need to check to verify why the vendor is not showing when you prepare the 1099-MISC form. First, we need to make sure that you're tracking the payments in an account associated with a box from the form. Second, only vendors who are paid through cash or check are reported.

 

If you're not sure what accounts are assigned, you can run the Transaction List by Vendor report. Here's how:

  1. Click Reports.
  2. In the Find report by name field, enter Transaction List by Vendor.
  3. Click the Customize button.
  4. Go to the Rows/Columns section, click Change columns, then put a check mark in the Split box.
  5. Go to the Filter section, click the Vendor drop-down arrow, then choose the vendor who's in question.
  6. Click Run Report.
  7. Change the date to Last Calendar year, then click Run report again.

Under the SPLIT column, you can see what accounts the vendor transactions are tied to.

Okay, some enlightenment. On the Quickbooks side, things look okay. On the 1099 side (it looks like a different site under https://iop.intuit.com/*) is where the issue is. It shows the missing data upon landing there, but after refreshing it shows the missing person with the form being submitted -- and there's a 1099 PDF as evidence. 

 

I could probably empty my cache and it might help. It does seem like the iop.intuit site is having problems with cached info if there are multiple filings. But through a refresh and sorting the archives, I can see that all the data is there.

 

Notably, one would be wise to ensure all contractor 1099s are completed at the same time. Not just for the money savings, but to ensure all the information is accessible. Thanks again. Cheers!
