Partially filled sales orders not showing up on an open sale order report

I have a client that invoices partial sales orders.  The partial sales orders do not always show up on the open sales order report. It seems to pick the large sales orders to not show up and then they end up short on product.  Any fixes for this?

Welcome to the Community. Let's get these sales orders fixed so you can get back up and running in no time. 

 

The Open Sales Order report should show all of your open sales orders regardless of whether the amounts are big or small. You first have to double-check the dates selected. It's possible that there are transactions that aren't covered on the specified date range. 

 

Next, review the missing sales orders and make sure they don't have the Invoiced In Full green status. Here are steps to guide you through:

  1. Go to Customers at the top menu bar, then Customer Center.
  2. Select Transactions (see screenshot 1).
  3. Choose Sales Orders
  4. In the Date field, pick All.
  5. Review the missing sales orders, then verify if they have the Invoiced In Full status (see screenshot 2).

Please note that when converting this transaction partially, you're given two options; the Create invoice for all sales order(s) and Create invoice for selected items

 

Once you choose the former, it'll automatically convert all items and closed the entire Sales order. Thus, they'll no longer show in the Open Sales Order report. If you intend to do it partially, ensure to use the latter. 

 

If there are transactions incorrectly tag as closed, you can delete the invoice. Then, re-associate the sales order. 

 

To delete:

  1. Open the invoice.
  2. Click the Delete button at the top.
  3. Select Yes

To re-convert it:

  1. Open the Sales Order. 
  2. Click the Create Invoice icon.
  3. In the Create Invoice Based on Sales Order(s) dialog box, choose Create invoice for selected items
  4. Pick Ok

After checking and correcting the impacted entries, run the Open Sales Orders report again. It should now include the partially filled sales orders.

HI Vivien,

 

We are having a similar problem. We have a partially shipped order. I have done all the above and it is still not showing. The items are now in stock. The open sales order is not showing under the customer or in the open order report but it is showing as open under the part number? Why is it showing there but nowhere else?

In behalf of Vivien, I'm here to help make sure the partially shipped order are showing on the Open Sales Order report.

 

First, I want to thank you for following the recommended steps. Since it didn't do the trick, we recommend updating it to the latest release. Then, let's run verify/rebuild to fix any potential data issue. Please follow the steps I've laid out below:

 

To update QuickBooks:

  1. Click Help at the top menu bar, then choose Update QuickBooks.
  2. Choose Update Now at the top.
  3. Select the updates on the table
  4. Click box next to Reset Update.
  5. Choose Get Updates.

To Verify:

  1. Click File at the top menu.
  2. Go to Utilities then select Verify.

To Rebuild:

  1. Click File at the top menu.
  2. Go to Utilities then select Rebuild.

Once done, please run the Open Sales Order report.
