Paypal's Item Title appears in drill down after "Categorized", but not while "For Review"... Can I create a rule to categorize synced Paypal Sales by Item Title?

Our non-profit accepts donations and memberships using PayPal and our PayPal transactions auto sync into QBO. When the transaction is still "For Review" the description contains the name of the purchaser / donor and not the "Item Title" associated with Paypal's cart detail.  But I recently noticed that if you drill down on the transaction after it's been accepted / "Categorized" via a report (i.e. Profit and Loss), instead of the purchaser's name, the description now contains the "Item Title" from Paypal's cart details  (i.e. Donation, Junior Membership, Family Membership, etc).

 

My primary goal is to streamline categorizing each transaction so they appear in the correct line on the Profit and Loss report (i.e. Donation, Junior Membership, Family Membership, etc).  In order to sort the transactions into the correct chart of accounts I currently open each transaction (from the "For Review" screen), click the URL link in the “Bank Detail” section to open up Paypal in a new browser tab, then review the Paypal transaction detail, identify the "Item Title" in the order details, and then assign it to the correct Chart of Accounts…. One… by… one…

 

Of course this is a very tedious process. It would be awesome if I were able to create a QBO rule using the “Item Title” (that QBO is somehow displaying after it’s “Categorized”) to expedite categorization of these transactions. Is this even possible???

 

If it’s not possible to create such a rule, then I am also very interested in any other work around someone might be able to identify. One work around I thought of was to accept all of these transactions into “Uncategorized Income”, then drill down into it from the Profit and Loss Report, which will now display the “Item Title”, and recategorize from there without having to open Paypal in a browser tab. This will allow me to sort each row by “Memo / Description” and allow me to identify the item and recategorize slightly more efficiently, but it’s still going to be a slow and tedious process.

 

I would be incredibly grateful for any suggestion that would streamline the categorization of these Paypal transactions by the “Item Title” associated with Paypal's cart details  (i.e. Donation, Junior Membership, Family Membership, etc)!!!

Thank you for the quick response, but I believe I already set up the rule in accordance with the steps detailed in the thread you said contained my solution...

 

Please see the attached image. Within it I share 5 screenshots that are accompanied by the 5 steps (encompassed by a yellow square) that I took to get to the final example of the "Item Title" (encompassed by a red circle). 

 

Is there a way to create a rule using the "Item Title" that circled in red on the last screenshot???

Yes, you can use the item title when you create a rule to categorize transactions, @ant.wolfhollow.

 

You'll want to delete the bank rule that you created. Then create a rule that includes the item title. This rule won't affect your previous entries and only will take effect on your next PayPal transactions.

 

If the issue persists, I encourage reaching our Care Support team. They have tools to pull up your account and investigate this further. Here's how to reach them:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Navigate to the (?) Help icon.
  3. Choose the Talk to a human option (type it again if prompted).
  4. Enter I still need a human.
  5. Click Contact us.
  6. Then choose either Send a message (if you prefer to chat) or Get a callback.

Thanks, but the problem is that the "Item Title" (i.e. Junior Membership) does not appear in the description when it's under "For Review". Instead it lists the name of the purchaser under the description.

 

Then for some reason, after it's "Categorized" it changes the description to the "Item Title" when you drill down into the transactions. In this case the transaction is for a "Junior Membership" and these are the words I would need to use to create the appropriate rule.

 

I'm beginning to assume this is not possible, but since QBO is retrieving the "Item Title" and entering in the descriptions post being accepted aka "Categorized", I was hopeful there was a way to use those words to auto assign the transaction into a Chart of Accounts category. Is it possible to create a rule that is triggered by either the word Junior or Membership, even if it's not displayed as the descriptions when it's "For Review"?

I appreciate you for coming back to the thread to add further details about your concern. With this, I'll assure to share extra information on how bank transactions work in QuickBooks Online.

 

The information that shows in the description in For review section in QuickBooks Online is dependent on what the bank provided to us upon downloading the transactions. With this, I suggest contacting your Financial institution to investigate and verify the details being recorded.

 

Then, there's no way to use the word "Item Title (i.e. Junior Membership)" to auto-assign the transaction into a Chart of Accounts category. You can only modify the descriptions after you categorized and added these into your register. 

 

On the other hand, isn't possible or recommended to create a rule that has incorrect details displayed as the descriptions in the For Review section. This is to avoid any issue and to ensure that your entries are up to date and accurate.
