Placeholder for Customer Business Name in Invoice Email Subject Line

I'd like to add a placeholder text for my customer name in the Emailed Invoice Subject line. I've tried [CompanyName] and it puts my own name in the subject line.

 

I need a placeholder for the customer business name.

Hello and welcome to the Community, @MagNic.

 

I've got just the information you'll need to put a placeholder in that Emailed Invoice Subject Line. After a little research, it looks like the use of [CompanyName] just as you've entered it is reserved for HTML permissions in QBO's Custom Form Styles. This simply means it will only do as you've noted, and place your company's name in its place.

It seems any other combination of this term and various characters will work just fine. I used (CompanyName) with parentheses and it maintained the text as intended. Check out these steps to get started:

 

Changing the Emailed Invoice Subject Line

  1. From QuickBooks Online, click the Gear icon (⚙) and select Custom Form Styles.
  2. Next to the form that needs a placeholder, select Edit. Navigate to the Emails tab.
  3. In the box below Subject, enter a placeholder such as (CompanyName). As long as it doesn't use brackets, it will hold its value.
  4. Click Done once finished.

In the video example below, I set this up using (CompanyName) and preview it in an Invoice:

I dont want a place holder.   I want my Customer's name in there so when i am searching through thousands of invoices in my email inbox, I  can search by company name.   This ability has been asked for since 2012 - at what point do you guys help us?    I dont get why <NUM> works and not <Company-Name>, but works within the body.   It seems like your developmental team just needs to tweak it with an edited line of code to fix this requested ability.    Its 2019 - lets get a little better with emails please (ie payment link on batch emails).    Please let me know if there is a work around.

What is interesting is that in the "Lab" feature called "Routines", you can automate sending reminders, where you CAN enter all sorts of variables in the subject of an email, which they call "attributes".  So the programming is done.  Just need to enable it in the regular Invoice Email Subject Line

Yes, there's a way to do this, as answered by MichaelDL above this thread.

 

You can make a new template for you to create a placeholder for Customer Business Name in Invoice Email Subject line.

 

Make sure to use (CompanyName) with parentheses to maintain the text as intended.

 

For the latest steps in creating it, here's how:

 

  1. Click the Gear icon and then select Custom form styles.
  2. Next to the form that needs a placeholder, select Edit
  3. Click the Emails tab.
  4. In the box below Subject, enter a placeholder such as (CompanyName). As long as it doesn't use brackets, it will hold its value.
  5. Click Done.

 

Once done, apply the template to the invoice by clicking Customize at the bottom of the invoice form and then select the template's name.

 

This way, it will allow you to enter anything you need as a placeholder for the customer business name.

Thanks.  I thought I was replying to the posting in this thread by Anonymous on 12-20-2018 01:44 PM.

Regarding wanting to have the Customers Name in the subject line of the email when sending the invoice by email.  As an example.  I have one parent customer who has over +100 'sub-customers'.  As you know having sub-customers of a parent is a feature in Quickbooks online.  So at the end of each month I need to email the invoices to the main customer with the sub-customer's name in the subject line.  Currently I have to edit the subject line to add in each of the different sub-customer names to over a +100 invoices and growing.  Quickbooks online adds the customers name in the body of the email so I don't need to do that which is great.  As you can imagine the parent company does not want hundreds of invoice emails with all the same subject line and no way to identify each sub-customer unless they open the email. 

 

There are many posts looking for this ability and I have added sent in my feature request but it looks like it continues to be on the back burner.
