Hello there, @jennielinnbauer.

 

A pledge will still show as income and account receivable since this is a promise by a donor to give money to an organization in the future. When a donor commits to a pledge without reservation, the nonprofit receiving the funds records the pledge as revenue and an account receivable. That's why it's showing as income and account receivable.

 

Once you record pledges in your books, it will show contributions income and pledges receivable. QuickBooks will properly present accrual-based income, as required for audited financial statements. If you want, you can toggle to cash basis reporting to remove the effect of recording pledges.

 

Still, you can reach out to an accountant for further and thorough explanation if need. Also, track fund donations you receive via credit card, bank transfer, or as cash in QuickBooks Online. Ok, is there a way to do a normal invoice for QB online?

Thank you for getting back with us. There are two ways to create an invoice in QuickBooks Online.  

 

  1. Create a new invoice from scratch.

  2. Create and convert an estimate into an invoice. 

 

To create a New QuickBooks Online Invoice: 

 

  1. Click + New and Invoice to create a new invoice.

  2. Select a customer.

  3. Enter customer email (if not already entered).

  4. Type all necessary information for Product/Service, Description, QTY, Rate, Amount, and Tax.

  5. Enter an invoice message.

  6. Press Save and send.

  7. Quickbooks emails your invoice.

 

Also, when you create an invoice in QuickBooks, your financial statements reflect the income from the sale as well as the receivable owed to you from the customer. QuickBooks Online will track your accounts receivable and provide tools to help collect payment from your customers, including built-in payment links and automatic reminder emails.

Is there no way on the online version to do a normal invoice like the desktop version? I don’t want to record income when I haven’t received the money.

I’m here to share some information about invoices and how QuickBooks handles it, @jennielinnbauer.


The information provided by my colleague AileenA is the complete instructions to record an invoice in QuickBooks Online.


If your company is set to accrual basis, the report shows income regardless of whether your customers have paid your invoices and expenses. That means revenues are reported on the income statement when they are earned.


Otherwise, you can switch to cash accounting so the expenses and revenue are recorded when you receive the money.
