Project Reports

I would like to pull a report of all of our projects and sort them by created date or project number. Unfortunately, I don't see where I can add these items (ID and Meta Data Date stamp) to the project reports screen. I know Quickbooks adds an "ID" number and date stamp to every new project created as I was able to discover this through 3rd party platform integration to manage all of our projects. We are using Zapier and Asana to manage tasks and notes for each project. When adding a new project I see that an ID number is assigned and can pull that ID number into ASANA as well as the date stamp. 

 

This is great for new projects as I will have this information moving forward in a Google Sheet that is also being auto-generated when a new project is created as well. But how can I pull this data for the existing 100+ projects that I have already have active? I would like to be able to simply check the box to add a column to the report for data that already exists.

The columns in the Project screen are built-in so adding one is currently unavailable. The functionality to customize the layout displayed on the screen is a great idea. I’ll take note of this and pass it along on your behalf for consideration in future updates.


You can consider using a third-party application to achieve this customization. The AppsCenter is a one-stop-shop where you'll find apps that integrates with QBO. To expedite the process, enter a keyword in the search field or use the Categories section.

May I know if you’re able to find a third-party application in the AppsCenter? I’m here to make sure you’ll be able to add the ID and Meta Date stamp into the Projects screen.

I was not able to find any 3rd part apps that let me pull The info from my existing projects.  Any guidance here would be very helpful. 

if there is already a field that allows you to customize Colima in the projects report I don’t understand how it would be so hard to add additional fields to that list.

No I was not able to find a solution on the third-party apps. As mentioned I can find apps that pull the meta-data ID and date stamp from any new projects that I creates but I have over 100 existing projects that I need to pull that data out of and I am not able to find anything that will do that.

 

The project screen already allows you to add custom columns so I don’t understand why it would be that difficult to add those two fields as a selection choice. We’ve done this in app development for our own client several times and the level of effort is not extremely high especially since those fields already exist in the system.

You can only add a few columns on the Projects page. We're unable to add the custom fields to columns.

 

My colleague already took note of your idea and shared it.

I'm looking for an update on this suggestion.  We are in a similar situation - it would be ideal to sort projects in date order.  To expand on the idea, not just the date the project was created but to enter actual start and end dates.  Has there been any progress on implementing this in Projects in QBO?

I recognize the need of being able to enter the actual and end dates on projects for your business. This will help you track the transactions seamlessly. I suggest sending feedback about this feature directly to our engineers. This way, they can consider adding it in future enhancements.

 

  1. In your company, click the Gear icon in the upper right and choose Feedback.
  2. This will open a window where you can input your product suggestions.
  3. From there, enter your thoughts and ideas about the product.
  4. Click Next to submit.

For future reference, here’s an article that will guide you on how to add paid and unpaid invoices to projects: Add existing invoices to QuickBooks Online Projects. It includes information about turning off the Automatically apply credits feature and reconnecting the payment to the entry.
