Accountant's Copies

I was wondering if an accountant's copy can be sent twice? The firm I work for has a client that did not open the accountant's copy that was sent. Would we be able to resend what was already sent to them?

Yes, you can resend the Accountant's Copy file, @SLund26.

I’m glad that you’ve visited us. Let me share some information here so you can send the copies again.

QuickBooks Desktop allows you to re-send the Accountant's Copy file. Before that, they can test the link first if it is really expired or something else. Here’s how:

  1. Right-click the file name and select Copy Hyperlink.
  2. Paste to your browser's address bar and press Enter.
  3. If the file downloaded successfully, open the Accountant's Copy from the saved location.

On the other hand, If they’re getting the same error, you'll have to re-send the Accountant's Copy file. You can follow the outlined steps on the link.

Hello there, Kathi Moss.

You'll need to remove your accountant's copy restriction first to resend a copy to your accountant. This way, QuickBooks will not prompt you that the Accountant Copy is already out. Removing your accountant's restriction means you are voiding the initial copy that was created. Before doing so, ensure to back up your company file first.

Then, you can now follow these steps on how to remove your Accountant's Copy Restriction:

  1. Go to the File menu
  2. Select Send Company File.
  3. Click the Accountant's copy, then Client Activities.
  4. Select Remove Restrictions.
  5. Click YesI want to remove the Accountant's Copy restrictions, then simply click OK.

Here's an article you can read for more details in removing your accountant's restriction: Remove the accountant's copy restriction.

Once done, you can now resend your accountant's copy to your accountant.

I'll be right here to continue helping if you need further assistance

Accountant's Copies

I have this issue only I am the client in this scenario. When I create a new Accountant’s copy to send, does that mean my account has to go back and make any rework all of the changes that were made? I am so embarrassed that I overlooked the email with the link to her changes and want to have an idea of what extra work I’ve now caused.

Hi there, Hawkeye-81.

If you have made any changes on the new copy to be send, yes, your accountant has to make changes on your file.

For more information about the process, you can check this reference: Create an Accountant's Copy of your company file in QuickBooks Desktop.

I'll be around if there's anything that I can help. Keep safe!

Accountant's Copies

Hello there, OBS-Dean ONLINE USER.

I appreciate you for spending your time and effort to figure out a way to create a backup copy in QuickBooks Online (QBO).

Since you're using QuickBooks Online, we are unable to manually create a backup copy. You'll want to invite your account to your QBO account. This way, your accountant will be able to help and manage your accounts, transactions, and keep everything accurate in your book.

Here's how:

  1. Select the Gear icon at the top, then Manage Users.
  2. Go to the Accounting firms section.
  3. Enter your accountant's email address.
  4. Click Invite.

Your accountant will receive an email invitation with instructions for signing into your company. Once they accept the invitation, they can access your QuickBooks company.

On the other hand, if you're using QuickBooks Online Advanced company, you can back up and restore your data. Please refer to this article for the complete details and steps: Find out what data you can and can’t back up.

You can check these articles for additional information about managing users in QBO:
