All of my categorized expenses for last year except for a small handful have disappeared from Quickbooks. My bank became disconnected, but what can I do to get them back?

I haven't logged into Quickbooks for several months because I took a full time salaried position. I logged in to do my tax prep and it's saying it stopped getting my bank info in mid-2018, which is incorrect because I used QBO to do my 2018 taxes. What is happening and what can I do to get back my expenses I already categorized and need to report on for 2019?

not what you will want to hear, but if intuit thinks you stopped paying the subscription, that is like canceling.  When you cancel the data remains as read only for one year then they delete it preeminently.

I would suggest you call intuit and see if the account still exists, but ....

Hello there, @missy9.

In QuickBooks Online, you can only set the account as inactive. You can check your Audit Log to know who made some changes in your account. Let guide you how.

  1. Go to the Gear icon.
  2. Under Tools, click Audit Log.

Once done, you can click the Filter button and enter the information needed to narrow the results and click Apply.

For more details, kindly check this article: The Audit Log: What it is, How to Use it.

Thanks for your help! I checked the audit log to confirm I had in fact categorized several expenses for 2019 and the audit log also confirms that my bank was connecting every day to QBO in 2019. However, when I click on "expenses" in QBO now, I see the splash screen attached, which appears to be a splash screen to set me up to *start* tracking expenses. Is it safe to assume that I got lost somewhere in one of the QBO updates of the past 8 months+? Is there any way I can see previously categorized 2019 expenses? What's the easiest way to start using this new screen to categorize expenses? Thanks for your help, of course I'm now up against a tax deadline to get all my QBO files to my accountant for 2019 so I need to learn what's wrong, how to fix it, and how to categorize all 2019 expenses ASAP. Thanks!

The categorized expenses must've been unmatched from the Banking section, missy9.

This is why you don't see any data when you go to the Expenses tab. You can add or match the transactions again by following these steps:

  1. Go to Banking > For Review.
  2. Find the transactions, and click the Add or Match link under the Action column.

Once you go back to the Expenses tab, you'll see the added transactions. You can also use the Audit Log report to see what are those transactions that were unmatched.

I'm adding this article for reference: Match and categorize bank transactions in QuickBooks Online

When you're ready to reconcile the account for your reporting, you can open this article link: Reconcile an account in QuickBooks Online.

Please let me know if there's anything else you need. I'll be around to help you some more. Thanks.

Hi! Thanks again for your help. I just realized I have QB Essentials, not QB Online. Are the steps to follow the same? Thank.

QuickBooks Essentials is one of the versions of QuickBooks Online, missy9.

You can indeed follow the same steps provided in the previous responses.

  3. Select the Start messaging or Get a callback option.
