another user has made changes to the selected transaction

Trying to invoice customer for job costs. Frequently, when in Choose Billable Time and Costs window, on tab Expenses, I try to uncheck or check a specific cost and get a pop-up that says "Another user has made changes to the selected transaction. QuickBooks will refresh the data for this transaction." Obviously, I'm using QB Desktop in multi-user mode, and this problem disappears when in single user mode. The message doesn't sound bad, "Okay, great, QB will refresh the data, good idea." But that's not what happens. Instead, you cannot do anything, have to exit trying to invoice the customer in multi-user mode and wait until you can switch to single-user mode. Or until QB decides not to do this. Because I don't see any reason why or when it does it. There can be no one else using QB and I get this error. Then later I won't.

QuickBooks says I can do customer transactions in multi-user mode, no restrictions. Until there are restrictions. Such as not being able to do the transaction you want to do, when you want to do it.

This has been wasting my time for at least 2 years, and 2 years ago I found a posting complaining of the same thing from 3 years ago (that post now "no longer available").

Re: another user has made changes to the selected transaction

Hi there, Probably NotHappy.

I appreciate you for providing the exact error message and the period this issue occurred.

Performing the data damage troubleshooting can help resolve common errors in QuickBooks. I’ll be right here to guide through the steps.

First, run the Rebuild Data Utility to resolve data corruption issues found by the Verify Data tool. Here’s how:

  1. At the top menu bar, select File and scroll to the middle and choose Utilities.
  2. Choose the Rebuild Data and click on OK to close all windows open in QuickBooks.
  3. Create a backup of the data to ensure you have a secured copy of the file before any changes are made to it.
  4. Click on OK when you get the message Rebuild has completed and proceed to the next step.

To verify:

  1. Go back again to the Utilities tab and select Verify Data.
  2. If you receive the following message QuickBooks detected no problem with your data, choose OK and continue using the company file.
  3. When the tool found some error, you’ll be prompted to Rebuild Now or View Errors.
  4. Choose Rebuild Now. Perform this process up to three times if errors are populating.

If the issue persists, I recommend following the resolution steps in the Fix Company File in use, Feature in use, Another user doing XXX, or Transaction in use errors article.

Make sure to follow them in order to ensure you can carry out any tasks in QuickBooks seamlessly.

This information should help move past the issue.

Keep me posted how these steps work for you. I’ll be right here if you need more help.

Re: another user has made changes to the selected transaction

This is a totally B.S. (had to change from original word to enable posting) answer. Typical Intuit/QuickBooks: "Oh, it couldn't possibly be anything wrong with our software, it must be something wrong with the user's company file, the user must have screwed up in some way. No way am I going to spend Intuit's money by suggesting that our development team look at this."

Did you even read far enough to see where I said, “This has been wasting my time for at least 2 years, and 2 years ago I found a posting complaining of the same thing from 3 years ago (that post now "no longer available").” Do you really think that in two years, I haven’t done—many times—the steps that you suggest?

And did you notice that I said, “Obviously, I'm using QB Desktop in multi-user mode, and this problem disappears when in single user mode.” But Intuit hates having to support those of us attempting to use QuickBooks as a real accounting software that should, you know, work at every thing it says it will do, and all the time, and with more than one user: that what Intuit says their product will do, it should do.

Hello again, @Probably NotHappy.

To straighten out the issue, I’ll have to view the company file. I’m unable to collect personal details to pull up the account, so I suggest contacting our Technical Support Team.

They have tools to determine what’s causing this issue and if necessary will configure the multi-user set up. To save the business time, you can either sign up to our callback process or chat directly with a support agent.

Just make sure to log in to your company file to get the contact details. Here’s how:

  1. Click on the Help icon and select the Contact Us link.
  2. Type in contact support in the field box.
  3. Choose Start a Message or We’ll call you.
