Re: Can I change the format of a purchase order in QuickBooks online?

Thanks for the reply.  In the past couple weeks since converting to QBO, here are the surprising disappointments I've encountered so far.  Please share with your development team (some of these have already been posted on the support board many months ago):

1. When Standard Users create and send estimates to customers, and then the customer replies that reply ONLY goes only to the Master User. The reply should go back to the user that created/sent the estimate to the customer. If I have 3 employees sending out estimates they should be managing those quotes. Instead, as the MU, I will get inundated with replies from customers about deals I am not managing.

2. When an estimate or invoice is sent from QBO, the email address that the customer sees is Intuit, not our company domain ([email address removed]). This creates confusion and security concerns for customers.

3. Standard users cannot use custom templates. The standard QBO template for Estimates and Invoices is not adequate for our business.

4. Cannot customize the Purchase Order template.
a. Address lines are too short. Customer addresses wrap to next line.
b. Cannot remove the Item Category info from the P/N (unless I delete and do not use the categories)
c. Cannot remove the unnecessary “Approved By” & “Date” lines at bottom.
d. And like the other standard templates the default forms do not properly represent our business.

Re: Can I change the format of a purchase order in QuickBooks online?

Thanks for the reply.  This PO template is one of multiple issues encountered since switching to QBO.   I see now on this forum that many customers have the same frustrations.

QBO problems encountered so far:

Hello @milbatteries,

I want to let you know that your voice matters and I'm taking notes of your feedback and submitting it directly to our engineers. Let me share a few insights and help you from there.

First off, your customer's reply after he/she received and confirmed the estimate you send, will be received by the email address associated to your QuickBooks Online account. With this, you can manually inform the user that your customer has successfully confirmed the estimate.

Second, you can save the invoice and estimate as a PDF file after creating it. This way, you can included it as an attachment when sending it to your customer via your personal email address.

In addition, you can check our QuickBooks Online Blog regularly. From there, you'll be updated with the features and enhancements that our developers are currently working on.

Know that you can always visit our Help Articles for QuickBooks Online in case you need some tips and related articles for your future tasks.

If there's anything else that I can help you with, please let me know in the comment section down below. I'll be always around ready to help.

Re: Can I change the format of a purchase order in QuickBooks online?

if you offer a product, it should be able to produce what is needed, or reduce the cost and let people know up front what the limitations are! You shouldn't have to spend days testing just to figure it out.  As I am sure you are aware of what the limitations are given the amount of comments here.  they should be posted on your front page, EX.  "You can not customize the PO" or currently working on it, Estimated ETA etc...

I would recommended you have a upfront list of limitations.  or just let people just figure it out and be frustrated as hell, great plan!

thanks

Re: Can I change the format of a purchase order in QuickBooks online?

This should be a basic feature within QB Online as it IS on QB Desktop. It is extremely frustrating porting over all our company data to QB Online to them find out that QB Online lacks basic features found within QB Desktop.

The request to customize the PO was a topic since last year but until now such request has not been granted. So frustrating!

This would seem to be an easy upgrade.  If we can change an estimate or invoice, we should be able to do the same for Purchase Orders.

We need to be able to choose from 1-2 different Purchase Orders templates based on the type of product or service we are buying.

How soon might we see this implemented?

I appreciate you sharing your insights here, DGSmith.

For now, we're unable to set a specific date when the purchase order templates will be available.

I'll make sure to gather the information you've shared here and pass these along to our developers. This way, choosing different templates or changing formats for the purchase order might be given a chance to be included in the next product updates.

You may consider checking our blog for the latest features released in QuickBooks Online.

For additional information with the purchase order, you can custom fields when creating this transaction. We can do it by going to the Account and Settings. Please take a look at the screenshots below:

Here's an article that contains more information about the purchase order in QuickBooks Online.

If you have other questions or any suggestions with QuickBooks, just post them here. We'll be around.

Re: Can I change the format of a purchase order in QuickBooks online?

How can a QTY or RATE be visible on the PO when printed?

I do not understand the purpose of the QTY and RATE fields if they don't show on the PO itself. This is a basic thing and it's the most frustrating that you can't customize it like Invoices! QBO, fix this PLEASE! So many of us are switching to QBO because of your marketing push, but the features suck and are nothing like desktop. You need to get the same capabilities as desktop on QBO. I'm begging you!

Hi, laguna_agency31652.

Printing a Purchase Order (PO) with a Quantity or Rate is quick and easy. You'll need to ensure that those options are selected in the Master's template settings.

Here's how:

  1. Click the Gear icon at the top menu bar and choose Custom Form Styles.
  2. Locate the Master template and click Edit.
  3. Go to the Content tab and click the middle part of the template.
  4. Select the Quantity and Rate.
  5. Hit Done.

After that, you'll be able to print your PO with Quantity and Rate on it.

To learn more about customizing sales forms in QuickBooks, check the resource below: Customize your invoices, estimates, and sales receipts in QuickBooks Online.

I'm always here to help you out if you have any other QuickBooks concerns. Have a good one.

Re: Can I change the format of a purchase order in QuickBooks online?

Hi to all experiencing the frustrating issue of PO Formatting/Content/Template.

After a few days of trying various ways of getting the SKU/Item Number from the Product/Services list I think I have a temporary solution.

I have  edited all my products to show the Item Code and Description together in the Purchasing Information field.

If try this on an active purchase order, be sure to re-enter each item to update the PO entry.

Hope this helps, but as stated this should be only temporary fix and still must be addressed by QBO Developers even is only as a plugin/app.

Re: Can I change the format of a purchase order in QuickBooks online?

I agree - I'm currently evaluating QB online [currently using the desktop version] - not being able to customize POs - as I can in my current desktop version - may very well be a deal-breaker

I'm dealing with the same issue, very frustrating!  The older versions of QB would allow you to format this to your needs.  Please fix ASAP, using an excel document to send PO's is ridiculous.
