Filter Average Days to Pay Report

Right now when I pull the average days to pay report it shows me everything. Assuming that because their is a 'paid date' column I figured I would be able to filter that to a specific month - however every attempt at that does not produce the right information. Any ideas how to achieve this?

I can help walk you through filtering the Average Days to Pay report to a specific month in QuickBooks Desktop (QBDT).

 

Here's how:

 

1. On that report, click Customize Report at the upper left.
2. Go to The Filters tab, then on the Choose Filter field, pick Paid Through on the Filter drop-down.
3. Select a date range on the drop-down list or on From and To, then OK.

Filter Average Days to Pay Report

Yes, I attempted that however it only yielded a total of 3 vendors and 6 payments when in actuality there was more than 30 vendors that we received payments from in January.

 

I exported the full report to excel and filtered the paid date to show only 2019, however it is quite cumbersome and the data and formulas all become skewed. 

 

Any other ideas?

There isn’t a direct way to filter Average Days to Pay report by month. As a workaround you can take note of the invoice numbers used for a certain month and use them to filter the report. For instance, for the month of December, you’ve used invoice numbers 250 to 350.

  1. Click the Customize Report tab at the top
  2. Go to Filters tab and choose Number from the filter list.
  3. Enter the first invoice number you’ve use for that month on the first box.
  4. Enter the last invoice number you’ve use for that month on the second box.
  5. Click Ok.

You can also request your preferred way of customizing the report through feedback. Just go to Help, choose Send Feedback Online and select Product Suggestion.

Filter Average Days to Pay Report

The paid through filtering works fine on the detail report, however the summary report does not filter properly.  The number of days on the report is for all transactions, and then drilling down to a specific customer, the detail is the correct filtering but the report does not tie to the detail.  Any suggestions on how to correct this?

In order to show the same information both Detail and Summary report would work, make sure to customize it with the same filters such as Accounting method, Customer's name, Paid through and etc.

Filter Average Days to Pay Report

Even if I enter a filtered date range, the report still goes all the way back to our start date of transactions.  I entered June 1, 2018 through May 30, 2019 and the report still included 2016 activity.

Hello @Missdree,

 

You can filter the Date and the Dues Date altogether to show the correct data on the report.

 

To filter your report, you can follow the steps below:

  1. Click on Reports from the menu bar.
  2. Choose Customers & Receivables, then select Average Days to Pay.
  3. Click on Customize Report.
  4. In the Filters tab, choose the Date.
  5. Choose the date range by clicking on the Calendar icon.
  6. Choose Due Date.
  7. Edit the date range by clicking again on the Calendar icon.
  8. Click on OK.

That's it. The report now shows your transactions by date of creation and their due date.

Filter Average Days to Pay Report

I want to run the Average Days to Pay Summary for the year 2019.  I want to see the average days to pay between 1/1/2019 and 12/31/2019.  When I do this, it is pulling in payments in 2020.  I only want invoices paid in 2019 and date parameters are correct.  Why does the report pull in 2020 info??

I had replicated your concern to see the information you're referring to. 

The date parameters in the report refer to the date when the transactions are created. The Average Days to Pay displays information on how many days a customer pay their dues. To calculate this, you'll have to know when it was actually paid.

Instead of using the Average Days to Pay report, you can run the A/R Aging Detail report. This also displays complete details on the average days your customers were able to pay their outstanding balance for a specific date range.

On the other hand, the accounting method used in your QuickBooks account affects the data that reflects in your report.

 

If you've set your accounting method into the Accrual method, ensure to choose the same method in generating your reports. An accrual-basis report shows income regardless of whether your customers have paid your invoices and expenses regardless of whether you have paid all your bills. You can change your QuickBooks accounting preferences and make sure that your reports match with it.

 

Here's how:

  1. Click on Edit menu.
  2. Select Preferences.
  3. Click on Reports & Graphs from the left pane.
  4. Go to the Company Preferences.
  5. Select Accrual under Summary Reports Basis.
  6. Click OK.

I had the accrual on under customer preferences clicked already in the summary reports basis.

Any other thoughts why payments are being included when outside the date parameters

Yes, you can customize the report by the specific date. Let me show you how to do that.

 

  1. Go to the Reports tab and select the Customers and Receivables tab.
  2. Select Average Days to Pay Summary tab.
  3. Click on the Customize Report button then under the Display section choose Customize on the dates.
  4. Enter the dates for From and To boxes.
  5. Go to the Filters section and enter Date in the Search tab. 
  6. Then click OK button.

Filter Average Days to Pay Report

I am familiar with customizing reports, however this is my issue.  I enter the the dates 1/1/2019-12/31/2019 and the report is still pulling in payments from 2020.  I just don't understand this glitch. Has anyone else ever had issues with this?

Let me provide additional information about the payments that will show up in your reports.

 

The Average Days to pay report will list all paid invoices and statement charges under Accrual Basis. QuickBooks will calculate the days to pay as the difference between the invoice or statement charge date and the paid date.

 

If the invoice has been paid later this year, the report will still pulling up the payments from 2020. As a workaround, we can pull up A/R Aging Detail report. It will display complete details on the average days your customers were able to pay their outstanding balance for a specific date range.

 

Here's how: 

 

  1. Go to the Reports menu.
  2. Select Customers and Receivables.
  3. Click A/R aging DetaiL.
  4. Choose Custom in the Dates drop-down arrow and filter the dates.

I have tried this also.  But the average days is for ALL transactions until I drill down and then it shows the average for the time frame I choose. I would LOVE to have a summary for the time frame of chose. Any other suggestions? Thanks

Let me share additional information on how you can generate and customize your average days to pay report.

 

The Average Days to Pay report displays information on how many days a customer pay their dues. Currently, there isn’t a direct way to filter it by month or specific time frame.

 

As a work-around, you can generate the Average Days to Pay report, you can run the A/R Aging Detail report. This also displays complete details on the average days your customers were able to pay their outstanding balance for a specific date range.

Also, you can take note of the invoice numbers the specific time frame you want to view and use them to filter the Average Days to Pay report. Here's how:

 

  1. From the Average Days to Pay report window, click the Customize Report button
  2. Choose the Filters tab.

Filter Average Days to Pay Report

I have read all this thread and I still have not seen a proper solution to this problem.  The detail reports filter fine as suggested.  However, ONLY the summary reports are pulling ALL invoices regardless of date or invoice number filtering.  No matter how I have tried to filter the SUMMARY report still pull all invoices to calculate the information.  This has got to be a bug in Quickbooks which needs to be addressed.  This has been an issue for years and has not worked properly even in the 2021 version.  Can Quickbooks please open a bug for this issue and fix it?  It is a real pain to do this in the detail report when all we are wanting is correct SUMMARY data.

Filter Average Days to Pay Report

I am sorry, but this report needs to be fixed.  We shouldn't have to jump through hoops to find out the Average days to pay.  It is a normal repor that is used in a variety of ways and if you cannot fix it, you need to find another solution.  I have spent hours trying to gather the data.  No matter what I change my filters to, I get the same result for each customer.  It is NOT working and it SHOULD be fixed.

I have been asking abut this from support for years.

This report does not function as required as all of the other people have reported above.  For example, if I run this report separately for January, then February, then March (etc), I get the SAME number for each month, a complete impossibility.  The formulas need to be fixed to reflect the specific time frame the operator chooses.

I know how convenient it is for your business to be able to correctly show the amount and pull up the report by month as well.  

 

For now, the report provides a simple overview of the average days to pay for each custmoer. The report calculates the difference between the transaction date and the paid date. It also averages the days to pay for all invoices and statement charges per customer.

 

We can look into other detailed sales reports that will show the same data you need like the Accounts Receivable report. Then, you can export it to Excel and manually calculate the average from there. You can also check this article to know more about customizing the reports in QuickBooks Desktop.

Filter Average Days to Pay Report

This report is still not working.  The average days to pay total never changes.  If you filter on specific dates, the total average days to pay should change.

Filter Average Days to Pay Report

The AR detail report didnt work for me. I selected 1/1/2022 through 3/31/2022 and it showed 0 days to pay for each invoice.
