It's nice to have you in the Community again, @majonkata. I'd be happy to assist with reference numbers.
One option would be to include this information in a custom field, which can be located using the Magnifying Glass tool. The following article has an overview of setting up these fields and using them: How to add custom fields to invoices. Additionally, you can select whether the customer will be able to see this information.
Please feel free to post an update on how it goes, as I want to ensure that you get the desired setup for your sales forms. I hope you have a wonderful day.
Hi David, thanks for your reply. I'll be using API and i see you have a param for custom fields so probably that will do. But then
1. can i SEARCH inside this field?
2. can i DISPLAY this data as a column on All Sales view?
You're very welcome, @majonkata.
The column can be included in the All Sales view by selecting the small Gear icon above the Action column and placing a check-mark in the box next to the name of the custom field.
To help ensure that I'm on the same page, could you please provide additional insight into your first question of searching in the field. This will help me to give you the best information and resolution.
I'll be keeping an eye out for your response. Take care.
Good day majonkata,
Yes, you can search transactions in the magnifying glass using the numbers and letters you set up in the custom field.
If there’s no similar description, it appears a single transaction only. This is the easiest way to search the specific transaction you need.
Let me share this article for additional information on how to organize and track data in QuickBooks Online: Filter, search, and sort with custom fields.
Feel free to come back if you have an additional concern. I’ll be around.
