How to transfer ownership and billing to client

Welcome, @christine6 and thank you for coming to the QuickBooks Community for assistance. I have some insight on transferring ownership to your client to pass along.

The process to transfer Master Administrator rights depends on which version of QuickBooks Online you're using. Only QuickBooks Online Plus or Essentials users can transfer the Master Administrator role themselves.

You must be signed in as a Master Administrator or a Company Administrator.

  1. Select the Gear icon on the Toolbar.

  2. Under Your Company, select Manage Users.

  3. Select Add user.
  4. Select Company Admin, then select Next.
  5. Enter the new user's email address and their name. Select Save.
  6. An email is sent to the person you invited to become a Company Administrator. They need to read the email, then use the activation link to set up their account. If they already have a QuickBooks Online user ID and password, they can use their existing credentials. If not, they can create a new user ID and password.
  7. Once the new Company Administrator user has been invited and have set up their user ID and password, you must sign out and sign back in again as the Master Administrator in order to transfer the role to another user.

How to transfer Master Administrator rights to an existing company administrator

  1. Select the Gear icon on the Toolbar.

  2. Under Your Company, select Manage Users.

  3. Find the Admin you want to transfer Master Administrator rights to.
  4. From the Action column, select Make master admin, from the drop-down.
  5. To confirm your selection, select Make master admin again. (Note: If you don't see this option, you are either not signed in as the Master Administrator or there is no Company Administrator user set up. If an Admin doesn't appear in the user list, see add them as a company administrator first.
  6. An email is sent to the person you invited to become the new Master Administrator. They need to accept the invitation from the email.

How to transfer ownership and billing to client

Hi Tanu,

Yes, your client will be charged at a standard rate. Once a company is removed in the Wholesale Billing (WSB) subscription. It will no longer be legible for the wholesale discount and all other promotions.

Here's how to remove your client from WSB:

  1. Go to the Gear icon.
  2. Select Your Account, under Your Company.
  3. Locate the company that you want to remove, on your Accountant page.
  4. From the Actions drop-down, select Transfer Billing to Client.

You might want to read this article for more details about wholesale billing resources for QuickBooks Online Accountant.

If you have any other questions, don't hesitate to post again. Have a good one!

Hey there, @LibbyM,

I can furnish you with the details on how to access your client's books after transferring their billing account.

You can have them invite you as an Accountant user in their QBO account. Have them perform these steps:

  1. Click the Gear icon and select Manage users.
  2. Tap the Accounting firms tab.
  3. Hit the Invite button and complete the accountant's contact information.
  4. Press Save.

You will receive an email invitation with the instructions on how to sign up to their company file.

I suggest checking out these references to know more about accountant access and wholesale billing:

You should be able to get the reports you need through these steps. Please update me on how this goes. I'm just a post away to help you. Have a wonderful day!

My client is not accessible and seems like he is not responding to emails or phone calls. He has not even paid me for the work I have completed for him.

What is the process in such case?

How to transfer ownership and billing to client

I am both the Master Admin AND the Accountant for a client, but when I select "Allow billing transfer to my Accountant", it tells me to contact myself.  What do I do?  I have access to the client's QBO as well as access to it through our firm's QBOA, we just want to take over billing (I have put down my personal card temporarily) but are unable to.

How to transfer ownership and billing to client

Hi there, dhborsman.

Normally, you should be able to transfer the billing since you're added as the accountant and master admin of that account. To isolate the issue, you'll want to make sure that you're accessing the client's QBO account outside your QBOA firm. Then, try selecting the Allow billing transfer to your accountant link from the Billing & Subscription tab again.

Additionally, if your client has the following add-on services attached to their subscription, we're unable to add them to your wholesale billing plan:

  • QuickBooks Time
  • QuickBooks Live Bookkeeping
  • QuickBooks Online Contractor Direct Deposit
  • FormFly

If the same thing happens, there may be an issue with the browser you're currently working on. Please try signing in to your client's account in a private/incognito window, then transfer the billing again. Feel free to press the following shortcut keys to access this window:

  • Ctrl + Shift + N for Google Chrome
  • Ctrl + Shift + P for Mozilla Firefox and Microsoft Edge
  • Command+ Shift + N for Safari

If you're able to transfer it successfully, you'll have to go back to your regular browser and then clear its cache and cookies to start over fresh. Alternatively, you can switch to other supported browsers.

However, if none of the procedures above works for you, I recommend contacting our technical supports. This way, we pull up your account in a safe environment and investigate the issue. Here's how:

  1. Go to the Help icon.
  2. Select Talk to a human.
  3. Enter "Talk to a human" again in the search bar.
  4. Choose I still need a human, then click Contact us.
  5. Select Send a message to start a conversation.

Lastly, I've added a reference that you can browse to help keep track of the clients who are part of your wholesale billing plan: Manage your  wholesale billing clients.

Drop me a comment below if you have any billing concerns or further questions about this topic. I'll be right here to keep helping.

Once the billing is transferred to the client, is there a time limit for them to enter their payment information? What happens if they don't do it for a few days or even weeks?

How to transfer ownership and billing to client

Hello there, mb776.

Thank you for reaching out to us with your concern about billing the client. I'll be happy to share with you some insights about it.

There will be no time limit once your client receives the bill. However, once the subscription is canceled, they will have 1 year to view the data on the account. Your client will be the one who can reactivate it using their credit card.

You may also check for the accountant billing and client management changes.

Get back to me if you have any additional questions about client billing. I'm just a post away.
