Welcome to the Community, @sleefw.

I'm here to guide you through the process of entering a refund to your customers in QuickBooks Online.

If you've already sent the refund back to the customer, then you can follow the steps I've listed below:

  1. Press on the +New button on the left-hand menu, then select ExpenseAdd expense or Check. If you're in Business view, follow the steps to switch to the Accountant view.
  2. Choose the customer you want to refund from the Payee ▼ drop-down.
  3. From the Payment account ▼ drop-down, pick the bank account where you deposited the overpayment.
  4. On the first line of the Category column, select an Accounts Receivable.
  5. Enter how much you want to refund in the Amount field.
  6. Fill out the other fields as you see fit, then hit Save and close.
  7. Go back to the +New button, then select Receive Payment.
  8. Choose the same customer you used for the check or expense, then fill out the other fields as you see fit.
  9. Under the Outstanding Transaction section, mark the checkbox for the Expense or Check you created.
  10. Make sure the payment is equal to the open balance, then hit Save and close.

If you haven't recorded the refund yet, then you can follow these steps:

  1. Go to the +New button on the left-hand menu, then select Refund receipt.
  2. Choose the customer you want to refund.
  3. Select the Refund From ▼ drop-down, then pick the bank you deposited the payment for the invoice.
  4. Add all products or services the customer returned in the Product or service column.
  5. Make sure to fill the quantity, rate, amount, tax, and other fields accordingly, then hit Save and close.

If you have additional questions, please don't hesitate and ask away! I'm always here to lend a helping hand.
