Thanks for checking this with us today. I can help you remove your inventory items in QuickBooks Online.

 

Great news, QuickBooks Online has a Batch action feature which allows you to make your items inactive in just a snap. Let me guide you through the steps:

 

1. Click the Gear icon.
2. Select Products and Services.
3. Mark the items you'd like to remove.
4. Click the Batch actions drop-down.
5. Choose Make inactive.

6. Click Yes to complete the action.

 

You also have the option to restore deleted products or service items. Please checkout this article for the complete steps: How to edit, delete, and restore list elements

 

However, if you wanted to completely delete inventory items in QBO, this option is currently unavailable. Anyhow, this is a great idea we can put forward to our developers, so I'd encourage you to send your product suggestion. You may follow the steps below to submit your request:

 

1. Go to the Gear icon.

2. Choose Feedback from the drop-down.

3. Enter your Comments, Suggestions or Feedbacks.

4. Choose Next.

5. Select a category.

6. Click Send message.

 

That should do it, @t2-boutique. I'll do the same thing on my end to reinforce your request.

I uploaded my batches incorrectly and now have a huge amount of unwanted data in the inactive folder

Currently, the option to completely delete inventory items still isn't available in QuickBooks. However, you can consider inactivating the items as mentioned by my colleague Jen_D above.

 

I know you've got a vast amount of undesired items in the inactive folder and want to delete them completely in QuickBooks. But I want to let you know that your voice matters and I'm submitting your feedback directly to our engineers.

I'm in need of the option as well. Inactive files/items hog data space. There needs to be and end-user Admin preference with 3 or 4 warning windows and auto-back up mandatory, whatever to help protect folks from themselves, but right now this restriction feels like throwing the baby out with the bath water. Those with the aptitude should have the access without having to write a program to crawl every inventory adjust, trans, and activity to erase the links between the item and then delete it, repeat 1500. That's how many we have to delete. Thanks for listening.

Thank you for not a answering any of concerns of people actually running their business with Quickbooks.

 

What is plan to get inventory management feature in reasonable order as currently it is not. How to fix balance sheet that is completely messed up due to badly implemented QB feature?

 

I will give you example: Someone created item as inventory items, people keep selling and delivering that and purchasing from vendors (without PO's or Invoices); Now inventory shows -2000 pcs with 100.000 USD that company owes to somewhere when you run balance sheet, when in reality it does not. 

 

Any plans to  provide instructions how to clean up this?

Our goal here is to help our customer's concerns get fixed, jpajunen. 

 

I'd be glad to assist with your issue. Here are possible reasons for having a negative inventory in Quickbooks:

  • You haven't recorded all purchase orders into QuickBooks.
  • You've miscounted your physical inventory so the quantity is different.
  • The quantity you got from your vendor didn't match the purchase order.
  • You haven't converted the purchase orders to bills. QBO only counts inventory after you create a bill.

To resolve this, we can create an  Inventory Adjustment to correct the quantity on hand. 

 

Moving forward, you can follow the steps below to avoid this from happening again. We'll have to create Purchase Orders. This indicates the types, quantities, and prices agreed for the products or services. We'll have to make sure this feature is turned on. Here's how:

  1. Go to the Gear icon and select Account and Settings.
  2. Select the Expenses tab.
  3. In the Purchase orders section, click the pencil icon.
  4. Check the Use purchase orders box.
  5. Click Save.

Once done, create a purchase order and convert them to bills so QuickBooks will count items as inventory.

  1. Click the +New icon and select Purchase Order.
  2. Enter the required field.
  3. In the Category details/or Item details section, enter the purchases. Note that only those products or services marked as "I purchased this product/services from vendor" will appear in the Item details section.
  4. Select Save and close.

Convert open purchase orders to bills:

  1. In the purchase order window, click the Copy to Bill button.
  2. Review the Bill.
  3. Click Save and close.

After converting all open purchase orders, we can run the Inventory Valuation Detail report to give us an updated inventory count in QuickBooks. Please check this article to learn more details: Fix negative inventory issues in QuickBooks Online.

Thank you for the information.  However, I am not trying to do an inventory adjustment, but rather delete the inventory codes captured in QB completely.  The initial load was done incorrectly and now we have some items in there 3 times.  Id liked to delete the incorrect ones or all and start again.

It sounds like that will be what you have to do.

Use a different email and start fresh on a new account.

I don't think QB has any intention of solving this problem. 

 

I do understand their view as inventory can be so tangled between sales orders, invoices, and POs that deleting it would break the system. However, if there were no records connecting to this item, I don't see the harm in being able to delete it. But QB has decided that this isn't a pressing issue for them.

Utterly useless responses, all the way around. 
Making it inactive, or adjusting the inventory amount, does not even come close to solving any of the related problems. 
I have MASSIVE P&L numbers relating to the inactive items, and since there is no way to get rid of them, the reports are complete  s**t
This is a fundamental issue that really needs to be addressed!

That's the "beauty" of QBO. We are unable to remove any List data once it recorded. Utilize the trial period of a 3rd party tool export your data and reimport back once you have purge your account.

Make sure you account age didn't reach 60 days old yet. Otherwise you have to open a new QBO account.

Add my vote to completely delete inventory. a lot of testing is done during setup and customization and then you are stuck with Inventory out of sync.

This is totally needed and it's needed as soon as possible. The system must account for human mistakes and we can't simply fix them. I'm surprised this is not an existing feature already. Without this it's not even possible to run accurate reports. Is there any ETA to have this capability?

The ability to completely delete an inventory is not possible in QuickBooks Online (QBO). Being able to improve the customization option for inventory items is a good idea.

I've used QuickBooks Enterprise for over 15 years and have no idea how much useless data accumulates in inventory because they can't permanently delete it. It would be interesting an option to replace existing items with a new list of them.

This is a very important feature that QuickBooks must upgrade in the platform. I can't imagine how dificult it is for companies who sales different products and are constantly changing their inventory.

Has this feature still not been implemented? I am sitting with over 2000 products that have opening balances and I have to manually adjust them to 0 individually to fix my opening balance equity account. This really needs to be reviewed again! I was told by support to just make the unwanted items inactive but because they have quantities and cost prices it has ballooned my OBE to over $1 million (it should only be $300,000+-)

 

Any tips for me? I need to start the inventory from scratch with OBE, Inventory asset, and Inventory shrinkage to be $0

I understand that you need to delete completely your inventory items. Let me help you.

 

As of the moment, we're unable to delete an inventory in QuickBooks Online. The reason is that we want to make sure your data is intact and accurate.

 

What we can do is to make them inactive. If these products you want to mark inactive still have quantities on hand, the system will automatically create an adjustment to make it zero. Here's how:

  1. From the Gear icon, select Products and Services.
  2. Find the product or service you want to change.
  3. From the Action dropdown, select Make inactive. Tap Yes to confirm.

 

A product feature is more likely to be implemented if our developers received more requests about it. With this, I encourage you to send one by clicking the Gear icon and select Feedback.

Thanks for the reply but because they were loaded as an opening balance it has ballooned my OBE account and made the inventory shrinkage huge. Not being able to delete inventory is really, really stupid!
