Inventory recording issues

So my info was just moved from the desktop version to the online version...but I'm finding that the inventory moved over doesn't include a start date in the system, so I'm not able to create bills with those items. Do i delete and re-enter them? Or is that even possible if they're tied to previous invoices? Is there any way to fix this?

I appreciate you adding a screenshot of the issue you're getting in QuickBooks Online (QBO). I'm here to help sort this out.

 

When you import inventory from QuickBooks Desktop (QBDT) to QBO, it will ask you to choose a date, which QuickBooks will use to recalculate your inventory based on First in, First out (FIFO) calculations. This will also bring over your current item quantities, item accounts, and details.

 

There are two ways to fix this. First is to re-import your Inventories again if you haven't seen the option to choose a date when you import them. For your reference, you can visit this article for further guidance: Convert from QuickBooks Desktop to QuickBooks Online.

 

Second is to re-enter them again. If you choose this option, you'll need to inactivate the Inventory list that you imported to avoid duplicates.

 

To inactivate Inventory, here's how:

 

1. Click the Gear icon on the upper right.
2. Select Product and Services under Lists.
3. On the Action column, click the drop-down arrow beside Edit (right side of the inventory name).
4. Choose Make inactive.

 

Once done, you can now re-enter them. This can be done by selecting the New button on Product and Services page. Then on the Product/Service information window, you may select one of the four types of items: Inventory, Non-inventory, Service, and Bundle. You CAN NOT just inactivate inventory items with qty and or value, that does NOT make them go away.  The value is still in the company accounts and on the balance sheet.

I honestly do not have the time or interedt in inactivating more than 3,000 pieces of inventory, nor should I have to. The programming needs to be fixed. A date shouldn't be required for entering in a part. That's the only hiccup at this point. But I CANNOT enter in any more invoices bc they will be erased if Data Services goes back and re-downloads our company. I am stuck and NOT HAPPY. I've become months behind bc of this garbage. And I'm paying for something I'm not able to use!!!

Thank you for reaching out. I can share some information about the importing of products and services in QuickBooks Online.

 

When importing products and services, you'll need to enter the necessary information on specific fields and that can't be undone. In your case, you can import your transactions again then put a check mark on the Overwrite all values for each product or service that you import with the identical name box.

 

This will automatically merge your new import information to the existing ones. Also, you will no longer have to manually delete or inactive the existing products and services.

In this case, we'll need to check your account to review the notes when your QuickBooks Desktop data was imported to QuickBooks Online. I recommend getting in touch with the Data Services to have your account checked in a secure environment.

 

They have the tools to provide you with the details and can also initiate a screen sharing session to help you fix this issue quickly. 

 

Here's how to reach them: 

  1. Go to this link https://help.quickbooks.intuit.com/en_US/contact.
  2. Select your QuickBooks Desktop version.
  3. Choose a topic.
  4. Scroll down and click the Get Phone Number option.

Since in QBO, "Initial quantity on hand and as of date" are required fields for inventory items, yes they do need to fix this issue.

 - Either make this non-required fields in QBO (they should have done this long time ago) or create those fields when converting from QBDT to QBO.

 

There is no other way to solve this when you're dealing with thousands of inventory items.

Thanks for your response. I tried that, and it's like going in circles. I'm on the phone now with Amanda, not in Data Services, who says she doesn't have a direct line to them. Can't find a direct line to Data Services anywhere...they must not want to hear flak from people...bc it's set up for THEM to contact YOU. I am not happy. It's seeming that Data Services dropped the ball, yet again. They were supposed to call me back 12 days ago, yet I've gotten nothing. No phone call, no voicemail, no email, nothing. Not impressed and getting pissed off for a service I'm paying for but not receiving.

 

I have spoken to Brian (who ended up disconnecting with me), Jazz, and Usha (on November 15, 2018). Usha is the one who was very nice and claimed with great determination that she would be working on it herself. Then I got an email stating the same thing, and that Data Services was preparing the best answer for me and would call. But nothing. What is my next step???? I just want to get going on my data entry for my business!!!! I am months behind!!!

I appreciate you for giving us a feedback regarding your experience. Part of my job is to ensure we’re able to assist our customers properly in a manner that your experience is marked as outstanding. With that being said, allow me to share some information on how your QuickBooks Desktop data are converted to QuickBooks Online.

 

When you moved your company data from QuickBooks Desktop to QuickBooks Online, there are some information that is not included and often, conversion meets an error. Thus, you’re always asked to create a back-up copy of your company’s file prior to doing the conversion process.  This way you’ll always have an intact file to go back and work with. 

 

In the case of your Inventory information, you’re prompted to enter a date that will be included in recalculating your inventory information during the importing process. By doing so, you don’t need to enter your inventory start date manually.

 

On the other hand, data services is an internal department that handles data processes and restoration. Thus, there is no direct way to reach them out. I totally understand the impact of any delay in resolving this matter. For you to be assisted properly via a secured remote access, I’d recommend reaching out to our Customer Care Team for QuickBooks Online. They have the tools to ensure your inventory data is accurate and complete.
