Invoices and Received Payments Report for Projects

I'm trying to run a report of all invoices and payments received for a particular client who has several projects. We have turned on project tracking and all of the invoices are assigned to the project and show in the project profitability report, however when I run the "Invoices and received payments" report in QuickBooks, selecting all date range, and filter by customer (selecting the customer and all the projects in the list); none of the invoices show up, only the payments. How can I run this report so the invoices show up to?

Hello Jyassine,

 

All received payments linked to an invoice would show up on the Invoices and Received Payments Report.

 

Let's go back to the report and verify if the Payment transaction is linked to an Invoice. Check if it has the correct customer information. To do so, click on the payment amount to open the Received Payment transaction. If it's correctly linked and still doesn't appear, you'll want to do a few basic troubleshooting steps to fix this.

 

Log in and pull up the report using a private browsing window. If the invoices showed up, you'll want to clear your main browser's cache. This is to remove stored data that caused the unusual behavior. You'll also want to log in using another browser such as Internet Explorer, Mozilla Firefox or Google Chrome.

 

If none of these works, I recommend reaching out to our phone support team to report this issue.

 Hello, Nithin.

 

To get the list payment received on previous month, you’ll need to customize the report’s time frame. Here’s how:

 

  1. On the Invoices and Received Payments report, click the Customize tab. 
  2. Under Report period, click the arrow and select Last month from the option. 
  3. Click Run report. 


You can also enter manually the beginning date and the last date on the from and to date fields.

Allow me to jump in to this thread to help you find the Invoices and Received Payments report. Let's make sure that you're logged as the Master or Company Admin of your account. Then, here's how to pull it up:

  1. Go to Reports.
  2. In Type Invoices and Received Payments in the search field.
  3. Change the Report period to Last Month.

Allow me to join the thread and help share information about running reports in QuickBooks Online (QBO).

 

For me to provide the right amount of information, may I know what is the version of your QuickBooks? If you can't see the Invoices and Received Payments report in the search field, you may try finding the report under Who owes you on the Reports page.

If you can't see the report from there, as a workaround, you may open the Transaction List by Customer report and filter the Transaction Type to Invoice and Payment.

To check  for the report comparison between QBO subscriptions and the list of the reports that come with each version of QBO, you can check this article: Report comparison between QuickBooks Online subscriptions.

 

On the other hand, QBO doesn't have job costing system, job costing and the analysis of a job’s performance can be done in a number of ways in QBO. Turning on the class and location tracking allows you to specifically allocate a class to each line of a transaction, and/or a location to an entire transaction, or you can use a combination of both.

 

An alternative method is the use of sub customers. Using sub customers as well as turning on the billable expenses and products and services allows for the allocation of each expense to a customer. By setting up the sub customer and allocating expenses to that sub customer,  you are able to generate reports which show expenditure by customer giving you insight into the income and costs associated with each.

Hey there, Nithin8274.

 

Let's make sure that you're on the right page in QBO. Based on your screenshot, you're on the Management reports section. This is why you're not seeing the reports given by my colleague above.

 

Kindly click the Standard tab on the Reports page to find the Invoices and Received Payments and Transaction List by Customer report. You can also type these reports on the search box in the upper right-hand corner.

Kindly request the QB team to add the feature for Statement of Account (Transaction Statement/Ledger Statement ) for supplier also. Just like customer.

You'll want to check out the Transaction List by Vendor or the Bills and Applied Payments report and Filter by Vendor

 

You can both generate them on the Reports page. Just type these reports on the Search field to easily locate them.
