Hi there, brad16.
QuickBooks is unable to create default preferences for file name and location. As a workaround, you can create a new folder on your local drive for invoices. Then, manually save all your invoices on that folder.
You can follow these steps:
Also, you'll want to check for available supported apps that can do the work for you. We have multiple apps that integrates with QuickBooks Online. Go to the Apps tab to see a list of them.
I can see how helpful this would be to other users. I'll definitely forward this feedback to our developers.
If you have other concerns about invoices, please reply to this thread.
Thanks- that’s how I currently do it, but as you see, it requires 6 actions. I’m generally of the mind that if you always have to do the same 6 actions over and over again, you should figure out a way to automate the process.
Assuming that I’m impatient and have the funds to hire an independent developer to accomplish this automation, would it be possible? Like Amazon’s 1 click ordering based on your saved preferences, I’d like a single-click PDF creation.
Thanks again for the quick reply!
Thanks for getting back to us, @brad16.
Currently, we don't have an option to save default preferences for file name and location.
I can see how it would be useful to have the ability to save default preferences to work with QuickBooks as fast as you can. However, the only way we have right now is to manually save all invoices on your local drive as mentioned by my colleague above.
QuickBooks also allows integration with a number of third-party apps and software. From the Apps tab, you can look for integrated apps that can save default preferences for file name and location.
Also, I want to let you know that we're taking note of your feedback and suggestions to improve the experience we're providing.

You can always get back to me if you have any other questions. It'll be my pleasure to help you.
Where can I find Apps that work with QB Desktop Premier Professional Services Edition 2019?
Hello there, KR Jones.
I'd be happy to share you the link on where you can look for third party applications depending on your needs and are most compatible with QuickBooks Desktop.
You can visit our Intuit Marketplace to see a list of applications that recommended by our product developers to work best with QuickBooks. Here's a link to get to there: https://desktop.apps.com/home.
This will point you in the right direction. Should you need help with something else, feel free to reach back to me. I'd be more than happy to help.
Thank you for that - but without reading through each app I can't tell which one helps to accomplish this task. Can you narrow the field?
Greetings, @KR Jones,
We're unable to provide a specific app due to legal reasons.
If you're trying to save a PDF copy on your invoices, you can simply click the Print icon in the Invoice page. Then, select Save as PDF. This way, there isn't a need to convert the invoice to PDF format.
