On invoices, can I subtotal subtotals? I used to in Desktop but I don't remember how it was set up. Is this possible in QBO?

Thank you for your question, Suzannek. I want to get to the bottom of this, but I need your confirmation. To start, I'll clarify the functionality regarding subtotals in QuickBooks Online (QBO).

When you add subtotal line items to your invoice in QBO, the system automatically calculates the sum of all the subtotals at the bottom of the invoice.

I've attached a screenshot for your reference:

However, if you are asking about the ability to add a subtotal of subtotals within the body of the invoice, this feature is currently not supported in QBO.

You may want to consider exploring third-party apps with advanced subtotal functionalities. Visit our QuickBooks App Store website and choose an app that best suits your business from the CATEGORIES section.

Additionally, I'll share these link articles to personalize your sales forms and add a discount to an invoice or sales receipt in QBO.

I'm just around the corner and ready to answer if you have additional questions or concerns about handling invoices in QBO. If you have any inquiries about your data, entries, or other items in QuickBooks, enter a reply below, and I've got your back.

RE: Yes, you can subtotal subtotals in QuickBooks Online (QBO)

You make that claim and then proceed to not show how to do it (likely because it's not actually possible with weak, feeble, QB Online.).  Do you understand what the OP is asking about?

Here's an example of what they want to do, which is child's play for QuickBooks Desktop:

You can create invoices like this, and much more complicated ones, using QuickBooks Desktop, because that is what QuickBooks users need when they invoice their customers in order to represent the real world - how sales are actually made. Which Intuit used to know.

I need the subtotals of the subtotals in the actual body of the invoice.  I am not referring to the subtotal at the bottom of the invoice.

I know that having the subtotals in the actual body of the invoice is significant for you, Suzanne.

When processing invoices in QuickBooks Online (QBO), the subtotal can only seen at the bottom part of your invoice. Moreover, the ability to indicate the subtotals to the center or the body of the invoice is unavailable.

I can see that achieving this process would be a great addition to the program. With this, I encourage sending feature requests to our product developers outlining this suggestion. They're genuinely interested in hearing your input and highly encourage you to send your suggestions.

Here's how:

  1. On the upper right corner, click the Gear Icon.
  2. Under Profile, choose Feedback.
  3. Type in your product suggestions.
  4. Then select Next to submit.

Additionally, here's an article you can browse just in case you want to personalize the appearance and layout of sales forms for an effective way to enhance your business communications in QBO: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Let me know if there's anything else you need further assistance with when handling your invoices in QBO. I'll make sure to assist so you can keep your business going.
