Price Rules and Time Tracking Entries

Our employees enter their time into QBO each day.  They each have Time Tracking accounts set up.  They enter time by selecting a client followed by the product/service they performed/are responsible for.  We have Price Rules set up in QBO, however, when an employee enters their time the price rule is not being captured in the Time Activities by Client Detail or Time Activities by Employee Detail reports.  For our invoices we take all the time worked and have it linked to the invoices.  What we have to do on the admin side is go into each employee entry and adjust the rate in order for the linked transactions to pull the correct rate to the invoice.  Is it possible for the price rule to be applied to time tracking entries?

At this time, QuickBooks Online doesn't offer the option to have a price rule applied to time tracking entries. That said, I'll be sending feedback to our Product Development Team to review and consider making this an option soon. 

 

Product updates and enhancements are the results of comments provided by users. While I do that, I encourage submitting this product suggestion on your end. That way, our development engineers will receive multiple suggestions on how beneficial this feature would be. To submit feedback, go to the Gear icon, then pick Feedback

Rules aside, you may need to set up a set of service charges for each employee as it sounds like you bill clients at a different rate depending on who did their work.  Service Items can have either a set price that will come through or 0 and you have to override the price in the invoices.  There is no way to directly bill a client any particular employee's hourly wage unless you set up each employee with the charges for them.

Clients can be charged different rates; not so much the employees who do the work.  It is along the lines of "legacy" rates vs. new client rates.  Thanks for your response.  I will be submitting a request to the QB feedback forum.

Currently, the feature you're looking for to track to have a price rule applied to time-tracking entries is unavailable. Also, we don't have a workaround at this time. I know how disappointing it is to have this feature and workaround unavailable until now.

 

For the time being, I recommend sending feedback to our product developers. That way, they'll know that this is important to some businesses and might consider this in future updates. You can login to your QuickBooks Online and click the Gear icon. Select Feedback and then enter your feature suggestion. Once done, hit Next to submit.

As of posting, linking price rules directly with time entries from QuickBooks Time isn't available. I highly encourage you to share your suggestion with our software engineers for them to consider it for future updates.

 

Here's how you can send your request:

 

  1. Go to the Gear icon and select Feedback.
  2. Enter your comments or product suggestions.
  3. Tap Next to submit.

 

In the meantime, I recommend exploring third-party applications that can add price rules to your time entries.
