QB's has hijacked my invoices and an administrator sent them without my authority. How does this happen? What else are they doing without my consent? Buyer beware.

Hi there, lplplp.

This is not the kind of activity I want you to have with QuickBooks. I'll provide different information about sending invoices automatically.

There's a feature in QuickBooks Online called Recurring Transactions. This allows you to create templates for recurring invoices so they will be sent automatically. That said, it could be your invoices are set to a recurring transaction. To verify this, I'd suggest going to the Recurring Transactions page. From there, you'll be able to delete the recurring entry so this will not auto-send.

Here's how:

  1. Go to the Gear icon ⚙.
  2. Under Lists, choose Recurring Transactions.
  3. Choose the recurring invoice you want to manage/delete.
  4. Click the drop-down arrow under the Action column.
  5. Choose Delete.
  6. You'll be prompted with Are you sure you want to delete this? Click Yes to confirm.

For additional details, you can open this article: Create recurring transactions in QuickBooks Online.

If the issue continues to occur, I'd suggest visiting the Audit log page. From there, you'll see the list of the company's activities, the changes made, and who made them. And, also includes who sent your invoices without your authority. Please follow the steps below.

  1. Click the Gear icon⚙ and select Audit Log.
  2. Choose Filter.
  3. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  4. Hit Apply.

For additional information, you can click this article: Use the audit log in QuickBooks Online.

Please refer to this article to see steps on how you can record single and partial invoice payments in QBO: Record invoice payments in QuickBooks Online.

If you have follow-up questions, feel free to leave a message below. I'm always around here in the Community to help. Keep safe, and have a good day.

No, this is not the problem.  Apparently, over 400 other customers' invoices were sent out by a QB "Administrator" without authorization.  As per your customer service rep.  This is now being handled by QB tech dept.
