Quickbooks Mac 2019 does not seem to respect custom dates. I wanted to make a report of all of my Dues and Subscriptions over a three year period, but no matter how I set the dates, when the starting date was in a different year than the ending date, it only displays transactions from the ending year. It does not seem to matter if I only want Dec 1 2017 to Jan 31 2018. The 2017 transactions do not show up. If I pick from Jan 1 2017 to Dec 31 2017 it correctly displays the 2017 transactions. If I pick Jan 1 2017 to Jan 31 2018, suddenly I only see the 2018 transactions. This is puzzling and undesired behavior.

Let me share some insights in pulling up reports in QuickBooks.

 

In your case, this can happen due to data file weight. Since when pulling up reports, it is one reason it does not include some data.

 

As a workaround, you can divide and pull up reports, then combine it into an excel file.

Thank you for your reply, but I do not believe you understood my problem. Let me provide more information. I have less than 7,000 transactions total in 20 years of Quickbooks data, so I am not a heavy user. If I ask for a QuickReport of all the Dues and subscriptions expenses for a year, a big year might have 25 entries in it. Whenever I choose a custom date range that crosses a year boundary, only entries in the most recent year show up.

Example 1: from Mar 1 2015 to Jan 31 2018, only entries from 2018 will be displayed
Example 2: from Dec 1 2017 to Jan 31 2018, only entries from 2018 will be displayed

 

I am using Quickbooks 2019 for Mac Version V18.0.5 R6 Build 3312.


I just installed it QB2019 today and upgraded it immediately, so I believe that I have the latest version.

Thanks for getting back to us, BradleySlavik.

 

We can run the Verify and Rebuild Data Utility if your QuickBooks Desktop for Mac is already updated to the latest release. This helps resolve any data issues on the reports section.

 

To run the Rebuild Utility, you can follow these steps:

  1. Click File located at the top-left corner, and select Utilities.
  2. Choose Rebuild Data.
  3. Click OK when you get a pop-up to backup your company file. Note: Your computer may display the message QuickBooks is not responding. But, as long as you can see your mouse cursor move, Rebuild is still ongoing. Wait for it to complete.
  4. Click OK when you receive a message that Rebuild has completed.

Then, proceed to run the Verify Utility by following these steps:

  1. Go back to the File menu, select Utilities, and then choose Verify Data.
  2. Click OK when you get a message QuickBooks detected no problem with your data. You may continue using your company file.
  3. If there's an issue with your data, you will get a prompt to Rebuild Now or View Errors.
  4. Choose Rebuild Now.

Once done, go back to the reports page and customize the date to see if all transaction shows up.

I did a verify of the data yesterday already.

Upon your recommendation I did a rebuild and verify today.

 

Results are identical. QuickReports does not work. I will upload fairly non-sensitive information here to prove it to you. Also, why are the retained earnings showing up? I did not ask for them.

Looking at the report screen shots it appears they are all for 2018 and not including 2017 in the date ranges.  I know the date range controls can exhibit problems sometimes - try using the tab key to move between them rather than clicking and see if that makes a difference.

 

Also sometimes the reports only list the most recent year for transactions - this has something to do with closing the books.  I'm not sure that is the case here but it is behavior built into the program.  One of the pro advisors may be able to describe the exact situation where this occurs.  

 

Retained earnings might be related to this - some things are calculated on the fly rather than being from the data itself.  This is especially true if your are using Cash Basis instead of Accrual for the reporting basis.  Check that setting on the report itself - try both and see if that gives you what you want.

Thank you for your response. I do not know how to make the missing data issue any clearer.

The first report requests data from 2018 Jan 1 through 2019 Mar 28 and only 2019 shows up

The second report requests data from 2018 Jan 1 through 2018 Dec 31 and 2018 data does show up. 

 

Quickbooks is ignoring the custom date range and only returning data from the most recent year in the custom range. I tried many ranges. If the last date is in 2015, then the QuickReport will only deliver 2015 data even if I have asked for data from 2012 to 2015 Apr 15 or whatever.

 

This seems like a very annoying bug. 

 

On the plus side, filters allow me to display transactions inside a single account and provide a running total. I do not recall if that worked in 2013, because I was always using QuickReports.

Hi,

Regarding not giving reports over one year, and only the last day of the report.  I was going thru the same thing yesterday and have a PC.  It only allows one fiscal year at a time, then all the data shows up.   If your calendar year is your fiscal year, then it will be the same.  Yes, it was very frustrating!!  This was the only way could get the info, one year at a time.  Good luck.
