When using QB online, sales by Customer Report only show sales that were invoiced thru QB, how do see all sales by customer?

We also have sales that were invoiced through other means, I have accounted for those sales in the bank transactions and tied the amounts to a Customer, but those sales do not show up in the Sales by Customer report. In fact, it seems like Customers as a group is tied to Invoicing.

You can run the Transaction List by Customer report to view all customers' sales, @TopBrad.

 

Here’s how to generate the report:

 

  1. Go to Reports menu at the left tab.
  2. Look for Transaction List by Customer, then click to run the report. 
  3. Select Customize.
  4. In the window, select the Filter ▼ icon to open the section.
  5. From the Transaction Type drop-down, select the all that applies. 
  6. Once you’re done, click on Run Report button.

That would work if there were aTransaction List by Customer, but that is not an option in my QB Online for some reason. It is really crazy that a basic report that shows how much each customer purchased in not available unless invoice all customer through Quickbooks, which is not a viable option for since some payment are rather large and come in via wire transfer.

I can help you pull up the report that contains all the sales from your customers.

 

It seems like you're using the Simple Start version that's why you're unable to view the Transactions List by Customer report. We can customize the Sales by Customer Summary report to show your income minus your expenses (net income) for each customer. I'll show you how:

  1. Select Reports from the sidebar menu.
  2. Enter "Sales by Customer Summary" in the search bar.
  3. Click the Customize button, then set the desired reporting date.
  4. Under Filter, you can pick a specific customer from the Customer drop-down menu.
  5. Select Run report.
  6. Click the amount to view the breakdown for each customer.

I'd suggest memorizing this report to save its current customization settings. We can also personalize your reports to add the information that matters the most to your business using the Customize feature.

That is where my problem started if you read my original post. Only customers that are billed with QB invoices show up on the Sales by Customer Summary report. We DON'T bill all our customers via QB, some wire us directly and that transaction is then associated via the banking transaction with the correct customer. Those wires don't show up on the Sales by Customer Summary.

 

I found a way by simply do a Profit and Loss report and then customizing it to show Income by Customer. It would be nice if QB did not limit sales to invoiced sales only.

QuickBooks Online is intended to work this way. The reason these transactions aren't showing for you is due to them being wire transfers, and not recorded as sales transactions. I can understand how seeing these transactions on the sales by customer summary report would be beneficial for you and your business. They are helpful to see what the income is per client. The thing is, technically any item transaction that is put in an income account should be a sale. But Quickbooks has limited this to only invoiced items. I would love it if when a sale is made via another source such that when a transaction in a bank account is associated with both a customer and an income account that transaction is considered sale even if it did not get invoiced.

I'd like to shed light on why you don't see your bank transactions in your sales report.

 

I would agree with Tori that bank transactions are not considered as sales. To elaborate further, cash-in bank transactions are treated as deposits. However, deposits can mean payment on an invoice or advanced payments on a sale that is yet to happen. Therefore, a deposit alone can misrepresent a sale. That's why you don't see one in your sales report.

 

On the other hand, your deposits are still reported as income if you categorized them this way, and they will reflect in your Profit and Loss report.
