transaction report that includes the actual chart of account number or the entire name of the account and not just the bottom

Does anyone know if there is a transaction report that includes the entire account name and not just the lowest account level.  I need to be able to use the data in Quickbooks in excel which I can't do properly without this.  For example if i have T&E account with for each employee with sub categories such as Meals etc  so the

In QuickBooks Desktop, you can take advantage of the Custom Report feature were you can customize the information you want to show in the report. In your case, you can choose to filter the Account drop-down to show All accounts.


Here are the steps on how to run this:

 

  1. Go to Reports.
  2. Click Custom Reports.
  3. Choose Transaction Detail.
  4. Click the Customize Report button.
  5. In the Display tab, check the Num and other information you want to include in the report.
  6. In the Filters tab, choose All accounts from the Account drop-down.
  7. Click OK to save changes.
  8. You can click on the Excel button to export the report.

Hi Karen

Thank you for responding.  I've tried to run the report as you have suggested however, it only gives me the lowest account NOT the total name as is would appear in the COA

 

For example: Compensation and Benefits:Employee benefits:Dental: [name of employee],  the report only shows the [name of employee] and not Compensation and Benefits:Employee benefits:Dental:[name] which is what i need.

Is this possible?

I recommend trying a worker compensation detail report. I've included the steps to creating the report below. 

 

1. Open the Reports menu.

2. Choose Employees and payroll

3. Pick Workers Comp Detail.

Thanks for your response Tori - hope you are enjoying your day as well.  I used the GL account for health care benefits just as a reference so that the forum could identify with what I need.  The point is I need any Transaction report to include the full COA, just as you would see if your ran the COA list report, name - not just the lowest level.  Do you have any familiarity with how that can be done.

I'd like for you to check your preferences to see if you have the Show lowest subaccount only checked off, which could be the cause of this issue with your reports. 

 

To do this:

 

  1. Open the Edit menu at the top. 
  2. Choose Preferences.
  3. Select the Accounting tab, then Company Preferences
  4. Uncheck the Show lowest subaccount only box (if checked). 

 

However, if this is unchecked and you still see only the lowest level, do you mind to share a screenshot with me so I can see a visual reference of the issue at hand?

Is this Tori??  If so, or not, thanks so much for your help.  Believe it or not i'm not sure how to share a screen shot so, i attached a jpg from snipping tool.  The box was unchecked as have tried that before and any report no matter what I do, I still see only the lowest level.   As an example, below"  i would need all of the account name , not just "Transportation" which is what I see.

 

Travel, Meals & Entertainment:[name]:Transportation.

Unfortunately it is not possible to create a transaction detail report within QuickBooks that includes the full account name, parent and child, with or without the account numbers.

 

It can be done outside of QuickBooks and we could build that for you as a custom solution.

I'm very familiar with your products as I've been using your import IIF function for many,many, many years and I Love it!  Thanks, I know that you could build it and I can as well believe it or not - I'm just trying to find a quick solution for something  I need to create quickly.  But, in the long term if I can't come up with it a solution, I'll keep you in mind.   BTW - can you create something that will standardize vendors when pulling down credit card info (you know like the 300 transactions per month that's vendor starts with ** or some other quirky character for a Dunkin Donuts transaction) so that we don't have to spend so much time cleaning up data before importing into QB so we don't end up with 1500 unique Vendors???

I'll share some information on how reports work in QuickBooks.

 

The reports in QuickBooks Desktop are transaction-based. This means that it will only show the account name where you assigned those transactions. If we've assigned a transaction to a subaccount, only the name of that subaccount will appear in the Account Name column. It's different from the Chart of Accounts where we can view the hierarchy of parent and subaccount setup.

 

Please know that we roll out updates based on our customers' requests (including the posts in the Community space). Rest assured, I'll share your post with our product designers for consideration.

Hi,

Yes, the Pro version of our IIF Transaction Creator, BRC IIF Transaction Creator Pro , allows you to map names seen in Excel to QB names. You can use wildcards as well, so you can map all names that contain Dunkin Donuts to a QB name, perhaps "Dunkin Donuts".
