turning OFF automatic check numbering

Very few payments I'm recording in the bank's check register are paid by check. Most by online banking payments. I don't use A/P at all, just record transactions in my ck register.  My QB 2016 always puts the next check number when I start to enter a new transaction. So, I almost always have to delete the check number before continuing. Earlier versions of QB desktop allowed me to turn off that feature, but I'm not finding a place to do it in my current version: QB Desktop 2016.

Re: turning OFF automatic check numbering

When you first open the "enter batch transactions" window and tab through to the first line, the next check number will automatically populate in the check number field. As long as you delete it when you enter the rest of the check info (date, payee, amount), the check number should NOT populate in the next line. You have to keep entering all the checks at once (by tabbing) because once you hit "save transactions" the window resets and the next check number will automatically populate again. Try this again with just two or three checks and see how it looks after. If you are still having trouble I would be happen to remote in to your computer to take a look.

I was having this problem myself and was searching the community for a solution when I came across your post. I am a fan of work-arounds because if you're like me and you just want the job done, you're flexible enough and innovative enough to come up with a plan B. So until a more ideal solution comes around, this is what I'm doing. IT SADDENS ME that more people (not you NYTCPA) do not see it this way.

Again, please let me know if the problem persists.

:) Victoria

Re: turning OFF automatic check numbering

Here's is your issue: "just record transactions in my ck register"

You use Banking menu > Write Check. Now you see things your Never Saw before. Such as, the Ribbon and the Items tab. Now you control the check #, in the Check Number Field. You Save and New, not working in the register view.

Double-click any CHK you already entered = this is what your data entry screen Looks like, when using the function in QB.

A Register is a Listing of transactions that impact that account's running balance. That is not the Entry view.

Re: turning OFF automatic check numbering

I am aware that the check register is not the same as the Entry screen.  I've been using QB for 15 years and I'm an accountant!  Please don't insult my intelligence, or was this just a "canned" answer without looking at my full question?

As my first message indicated, I used to be able to turn OFF the automatic check number from showing up when I'm recording ALREADY PAID items by going to just the check register.  Much faster and since I don't write checks very often, just auto debits or online banking payments, the check number showing up without my asking for it is a pain, and I have to delete it on each line! Obviously, I CAN make an Entry without having to go the Entry screen for checks!

RE: "As my first message indicated, I used to be able to turn OFF the automatic check number from showing up when I'm recording ALREADY PAID items by going to just the check register.  "

I've never seen an option to turn off check numbers.  Been using QB for 24 years. I've seen many requests for this, as well as Intuits repeated answer that it can't be done, never with any push back.  I don't think such an option exists.

I just enter the date, hit tab, then the delete key and tab again to the payee field.  It takes a fraction of a second.

Re: turning OFF automatic check numbering

that's what I do too...just annoying when entering a bunch of transactions.  Interesting that Intuit says this option can't be done when the credit card register, for example, doesn't have to make any entries in that field.  Seems like that would be the identical function in their programming. But I'll give up on this one at least for a few more years I guess

Re: turning OFF automatic check numbering

The only work-around that I can find is using the "batch enter transactions" feature to enter checks without numbers. You can remove the "check number" column in that window by customizing the columns.

Re: turning OFF automatic check numbering

I was happy to enter checking acct entries through batch transactions, which went faster than using the register or by the slower method Write checks.  When I finished and they posted, I looked at the check register and it had assigned check #'s to every transaction! So I had to delete each check number, and then answer Yes to the change before it would post again.  So......, this doesn't seem to be a workaround after all....or am I missing something?

Re: turning OFF automatic check numbering

AHA! When I first tried this a couple of days ago, I customized the columns and removed the "number" column, thinking that would be the way to do it....I've done again by leaving that column there with no ck #'s entered....it now worked the way you said it would.  thank you SO much....

Re: turning OFF automatic check numbering

Unfortunately in QB for Mac 2019, there is no Send Feedback Online feature in the Help menu.  I would have requested the programmers include  the ability to choose automatic check numbering on an account by account basis.  Select it for a checking account, de-select it for a savings or debit-only account.

Re: turning OFF automatic check numbering

I agree with you, the option to turn off auto numbering for check numbers was in the earlier versions.

In the work around that you used can you still enter a check number on the occasions you enter an actual check?

Re: turning OFF automatic check numbering

What QuickBooks version are you using, janinco?

If you're referring to Victoria19's solution, yes, you can still enter a check number.

You can also follow nytcpa's method, by clicking the Customize Columns button and remove Number.

I've got an article that'll help you with the steps: Enter batch transactions.

Re: turning OFF automatic check numbering

One Thousand Percent with you on this. And unless your checks are processed by the bank in correct numerical order, the check number entered will usually be wrong anyway. This should be an easy fix. I have also been asking for a solution to this issue for years.

They obviously just do not give a s**t about the issue! PRUDES!

Re: turning OFF automatic check numbering

I just upgraded to the 2019 version, hoping and spending $$$ for a solution to this and other problems but alas I see little in the way of improvements and no cost effective support option for having paid for an upgrade. I made another "suggestion" for this feature, which I am sure will continue to be ignored. If my feedback is not acknowledged, I am going to return the upgrade and look for another program, even though I hate the thought of learning a new program. I am just tired of paying for "side-grades" which really offer minimal if any improvements.
