Hi there, @MatthewSqueaks

 

Thank you for reaching out to the Community. First, we need to turn on the track locations. Doing this will give you an option to categorize the specific location you want to group the invoice.  

 

Let me show you how to turn on the Track locations: 

 

  1. Click the Gear icon, and choose Account and Settings
  2. Tap Advanced on the left pane, under Categories, click the pencil icon. 
  3. Mark the tick box and click Save and Done

To group the invoices by location here's how: 

 

  1. Open the Invoices
  2. A drop-down arrow from Location, choose the location you wanted to add the Invoice. 
  3. Click Save and close.

To track down if the invoices appear, on the said location we need to run the report, I'll show you how: 

 

  1. Click the Gear icon, then select All lists
  2. Choose Locations. 
  3. Under Action, click Run report.

Once done, Location Quickreport will pop up and all the group invoices you've selected for that location will show up on that file.

I appreciate you taking the time to explain that, no one else has, BUT it does not allow me to issue a statement with the location grouping does it? I did just do it and add it to several of those different locations for this customer, but I see no additional sorting/grouping on the invoice.

We would just have to send them a report with them on it in lieu of a statement, which would not work for their tracking of payments and I already have had to add a memo note to every single invoice to let them know which location each invoice is for, they use our statement number in the journal entries. So, I do not think this is any help for resorting on statements.

 

Finding out now that QBO has the ability to add a 'Location' tag to invoices to run reports, makes me wonder why this is not available to sort statements before sending to customers. This particular customer has 7 locations in our area, and each one gets the same service from us once a week, and a different service from us once a month. If we sent them an invoice every single time we visited them, they would get 35-40 invoices a month from us. So we opted to just send them a statement every month with all the invoices on them, with the assumption that I could sort them by location on the statement, which I found out after the fact, that I could not.

 

Why are we paying these prices for this service that lacks some very helpful features, especially when the tracking is already there for reports? But, we can get this cool 'Capital' tab that flashes 'New' in this hot pink/magenta color every time I open the app, that will give you access to lenders with insanely stupid interest rates etc... MAKE THE SOFTWARE MORE USABLE AND BETTER, THEN UP-SELL THE CUSTOMER WHEN THEY HAVE CONFIDENCE IN YOUR ABILITY TO PROVIDE THEM A GREAT PRODUCT. That is some Sales 101 Training for the QBO execs and developers; or maybe it's just the executives.

The option to add a location on the Statements isn't available in QuickBooks. Rest assured, I'll take note of this idea and share it with our engineers. They'll review this one and may be added as one of QuickBooks' new features.

 

On the other hand, since you regularly send an invoice to your customers every month, you can create recurring transactions. This allows you to send the transactions automatically via email according to the schedule you've set.

I also have this same question and it seems you have not directly addressed the original question.

We are a non-profit and have events at various locations.  I originally considered creating accounts for each location, but you can imagine how un-scalebale that would be.  After I found the Locations feature, I thought problem solved!  But it looks like you can only "Filter" by location within reports.  I would like to generate a Statement of Activity with each Location "grouped" in the same report.  Is that possible?  Am I missing something?  That would be extremely useful.

Currently, the option to add and group the location in a statement is unavailable.

I do this by making each location a new "sub-customer" of the top level customer.  This way you can run a statement just for any subcustomer level.  It's not ideal, but it works.  The "Locations" option that QBO seems to have seems to be a way to classify your organizations locations.  Not the customer's locations.

Let me clarify some information on your concern and help you from there.

 

Are you trying to turn on the location tracking feature in your QuickBooks Online (QBO) and haven't seen the Categories section in the Advanced settings? If yes, it's possible that this feature isn't available in your current version of your QBO subscription. Please know that the location tracking feature is only available for QBO Plus and Advanced versions.

 

In your case, you can consider upgrading your QBO subscription to utilize the feature. Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon and select Account and Settings.
  3. Go to the Billing & Subscription menu.
  4. In the QuickBooks Online section, select Upgrade your plan.
  5. Review the available plans and then select Choose plan.
  6. Follow the on-screen steps to upgrade your plan.

Hi Shiella,

I think I found a solution that worked for me.  I am using classes now.  Classes seem to be the best option since you can tag splits with classes and there is a "Statement of Activity by Class" report that does exactly what I need.  It categorizes revenue and expense by chart of accounts and cross tabs by Class!  Perfect!  This is an easy way to to see a P&L by Class, which in our case classes are events that we attend.
