Reconcile and Reports

I am filling in temporarily for the treasurer at our church.   I was told I can't reconcile unless I have a printer connected to the laptop!!   Is this true?   It is a 2014 version of QuickBooks.

Hello, @temptreas.

 

You'll only need a printer when you're going to print reports or transactions from your QuickBooks Desktop account. 

 

Here's how to reconcile your accounts:

  1. Go to the Banking menu and choose Reconcile.
  2. In the Account field, select the bank or credit card account you want to reconcile and the Statement Date as needed.
  3. The Beginning Balance is automatically filled in. Make sure it is the same as the opening balance shown on your statement.
  4. In the Ending Balance field, enter the corresponding balance from your statement.
  5. If the financial statement shows a service charge or interest that you haven't yet entered into your QuickBooks records, enter those amounts into the Service Charge and Interest Earned section.
  6. Click Locate Discrepancies to see available reports that will help you track discrepancies and other reconciliation issues. You will also be given the option to Undo and Restart Reconciliation on the Locate Discrepancies window.
  7. Select Continue to proceed to the Reconcile window once all information is correct.

I sent the following early this morning...

 

Thanks for the info.  Over the phone, before her husband died, we had reconciled the month of March, but she warned me not to complete the reconciliation without a printer hooked up.  This surprised me, but having never used QuickBooks what could I say?  So what reports are produced automatically, if any,  when one clicks on Reconcile Now?   Or where will I find those reports if they don't print at that point?

Thanks for getting back to us, temptreas.

 

After clicking the Reconcile Now button, you'll have an option to Display, Print or Close the reconciliation reports. QuickBooks will generate the Reconciliation Detail and the Reconciliation Summary reports after the reconciling an account.

 

You can always go back to these reports for you to review and print the data. Here's how to do it:

  1. Click Reports at the top and select Banking > Previous Reconciliation.
  2. Select the Account you want to display.
  3. Select what Type of Report you want to open. (Summary, Detail, or Both)
  4. Highlight the Statement ending Date and click Display.

From there, you can print the report.

Are these reports saved as a file somewhere that I can then copy to a thumb drive to send to the council president so he can print them for the monthly meeting?

Hello there, @temptreas.

 

Yes, you can save a copy of the Reconciliation Summary. You can either print or email it. I'll show you how:

  1. In the Reconciliation Summary report, go to Print.
  2. Select Save as PDF.
  3. Choose a location where you can keep the file, then click Save.

When you want to email it, here's how:

  1. In the Reconciliation Summary report, select the E-mail dropdown.
  2. Choose either Send report as Excel or Send report as PDF.
  3. Then follow the onscreen steps.

Also, the council gets a report titled "Profit and Loss Budget vs Actual".  How is that generated??   I can't find any such report in the Reports menu.   Thanks again, Bill

Yes, you're right, Bill. You can use the same steps to save a detailed report.

 

Regarding the Profit and Loss Budget vs Actual report, I'll walk you through on how to pull it up:

  1. Click Reports.
  2. Go to Budgets & Forecasts.
  3. Click Budget vs. Actual.
  4. Under Select the budget to use when generating the budget report, choose the Profit & Loss by Account.
  5. Click Next.
  6. Select the report layout, then click Next.
  7. Click Finish.

You can memorize the report if you want the same settings to be available for future use.

Well, under Reports there is no Budgets & Forecasts.  This is QuickBooks Pro for 2014?   So maybe there is a different route?  Attached is the heading I'm looking for...I actually did stumble across it but now can't seem to find my way back to it!!

Joining in the thread to offer my help, temptreas.

 

There's a different route of looking for a report aside from what's already shared. Here's how: 

 

  1. Go back to the Reports menu and select Report Center.
  2. Manually type in Profit and Loss Budget vs Actual in the Search bar, then click the Magnifying glass icon.
  3. Look for Budget vs Actual and click on it.
