Ref No. - source changed in register from refund receipt no. to check?

Hi,

I download my register from QBO to Excel to do some of my transaction analysis/reconciling work. For some reason, in my exported files, the "Ref No." field has changed sources. For all transactions 9/29/2020 and prior, refund receipts will display the refund receipt number. For all transactions 9/30/2020 and after, the Ref No. will display a random-looking 21 character string.

Note that this string appears to be what is populating the Check no. field even though the Print Later box is checked. So the field is grayed out but apparently still has a value in it which is feeding the Ref No. field.

Is there any way to fix this? Any ideas on why it's happening? Can I point the Ref No. field to force it to look at the refund receipt number instead of the check number?

Thank you!

Ref No. - source changed in register from refund receipt no. to check?

Hello there, nate11000.

It's possible that the cell format of your reference number is randomly displaying a 21 character string. You can take a look at that by selecting a cell and right-click on it. Then, select Format cells.

I'd also suggest reaching out to an IT for more details on how to set format numbers in your Excel versions. They might also advise you to update its latest release.

Thanks for the response. Unfortunately this is not an Excel issue or a formatting item, but a change in QBO. Where the 'print later' box is checked, it's usually grayed out with just the text 'to print' in the box in QBO. Now, however, it's displaying a string. Even though it's grayed out, QBO is using that as a reference number.

We'll have this further investigated, Nate11000.

I'd suggest reaching out to our customer care support. This way, an agent can take a better look at this. Here's how:

  1. Click Help inside QuickBooks.
  2. Select Contact Us.
  3. Enter "Ref no. has changed sources" in the description field, then click Let's talk.
  4. Select either Get a callback or Start messaging
